OVERVIEW
The Change Management Consultant, reporting to the Director, Human Resources & Organizational Development and Deputy Chief Financial Officer, will support enterprise technology transformation initiatives within a hospital environment, beginning with the successful implementation of Workday HRIS and SAP Finance ERP upgrade. This role will work alongside a part-time Change Management Specialist to ensure staff adopt and integrate the new systems seamlessly. The focus will be on managing the people side of change, from strategic planning to post-implementation support, promoting user adoption, stakeholder engagement, and organizational readiness.
The ideal candidate will have significant experience in Workday HCM/payroll, SAP S/4HANA, or similar SaaS implementations, preferably in healthcare, with a strong background in change management practices. This role offers the opportunity to collaborate with hospital teams, ensuring the adoption of new HRIS and SAP S/4HANA tools to enhance operational efficiency. After the initial implementations, there will be future opportunities to lead change management for additional enterprise-wide applications.
KEY RESPONSIBILITIES
- Collaborative Change Management Strategy Development: Work with the Change Management Specialist to develop and implement a comprehensive change management strategy tailored to the hospital environment, addressing potential resistance and fostering employee buy-in.
- Stakeholder Engagement & Communication: Collaborate with leadership, HR, Payroll, Finance, IT, and other departments to align change management goals. Conduct stakeholder analyses, change impact and readiness assessments. Develop and lead communication efforts, including email updates, town halls, and intranet posts, to keep staff informed and engaged. Build and support a network of change champions across departments and operational units. Coach leaders and managers to act as change agents.
- Training and Support: Assist in developing training materials and programs for different user groups. Facilitate virtual and in-person training sessions. Create user guides, FAQs, and documentation. Collaborate with leaders to promote adoption and address resistance.
- Feedback and Monitoring: Track system adoption, monitor training progress, and gather feedback to identify areas for additional support. Adjust strategies as needed to overcome challenges.
- Post-Implementation Support: Provide ongoing support post-implementation, including refresher training and addressing user queries. Collect feedback for continuous improvement.
- Reporting and Documentation: Document milestones, feedback, and successes. Provide regular status reports to leadership, highlighting progress, challenges, and opportunities for improvement. Measure and report on change readiness, adoption metrics, and success indicators.
EDUCATION
- Undergraduate degree in Business Administration, IO Psychology, Human Resources, Organizational Behaviour, Health Administration, Communications, or equivalent. A Master's degree is preferred.
QUALIFICATIONS
- Minimum of 5+ years of experience with system implementations like Workday HCM/payroll, SAP S/4HANA, or similar SaaS, ideally in healthcare.
- At least 2+ years in organizational change management, with experience developing and executing change management plans. Certification (Prosci, CCMP) is an asset but not required.
- Experience working in a hospital or healthcare environment is highly preferred.
- High-level familiarity with HR and payroll processes such as recruiting, talent management, time and attendance, benefits, absence management, compensation, and payroll processing.
- General understanding of financial processes including general ledger, accounts payable/receivable, fixed assets, and financial reporting.
- Exceptional communication and facilitation skills.
- Experience designing and delivering training programs, both virtual and in-person.
- Proactive problem-solving skills and ability to address issues effectively.
- Strong collaboration skills, able to work with project teams, leadership, and staff.
- Good work and attendance record.
- Compliance with Occupational Health and Safety Act of Ontario and hospital safety policies.
