Qualifications

Accountability & Objective

Our Receptionists are the heart of our community – they are our guest experience ambassadors! Welcoming guests into our community with a smile and setting the tone for their experience, Receptionists are responsible for providing exceptional customer service while upholding a high standard of excellence which reflects our residence's values. Under the direction of the Office Manager, they provide administrative support including clerical and reception duties for the efficient operation of the residence.

Background/Qualifications
  • Minimum of grade 12 education required.
  • Minimum two years experience in a receptionist or clerical role within a hospitality setting is considered an asset.
  • Basic bookkeeping experience is preferred.
  • Proven typing and general office administration skills.
  • Effective communication skills in written and verbal English.
  • Ability to work independently with minimal supervision and demonstrate strong problem-solving skills.
  • Proficient computer skills (Microsoft Office Suite, Word, Excel).
  • Strong multi-tasking skills and ability to work well independently and in a team.
  • Resident-oriented mindset, aligned with the residence’s visions and values.
Key Responsibilities
  • Participate in and adhere to continuous quality improvement standards.
  • Greet residents and visitors warmly. Answer and direct phone calls professionally and courteously.
  • Manage office supplies and store inventory.
  • Handle inquiries, including marketing calls, directing them to the appropriate departments.
  • Coordinate with the Marketing department for resident move-ins, including welcome packages, orientation, and key allocation; in their absence, ensure appointments are scheduled and tours are conducted.
  • Provide clerical support such as data entry, photocopying, faxing, filing, and preparing spreadsheets.
  • Monitor security by overseeing incoming and outgoing residents, guests, and visitors.
  • Maintain a neat and tidy reception area.
  • Manage incoming and outgoing mail, accept deliveries, and ensure paperwork accuracy.
  • Record and store lost property.
  • Track guest meals and revenue using POS systems and manage revenue from services and events.
  • Maintain communication and public relations with residents, families, staff, and the public.
  • Assist with setting up and taking down programs, activities, and events as needed.
  • Create and distribute daily resident census reports.
  • Maintain contact lists for residents, emergencies, and families.
  • Ensure effective communication with colleagues and supervisors.
  • Perform other duties as assigned by the Office Manager or delegate.
  • Comply with all policies, procedures, and mandatory training requirements.
  • Participate in health and safety programs, including incident reporting, fire drills, and hazard recognition, in accordance with relevant legislation.
