A major hospitality company in Toronto seeks a Buyer to manage procurement operations, including RFP coordination and supplier evaluation. THE ROLE :
The Buyer is a key contributor to InnVest’s procurement operations, with primary responsibility for coordinating and issuing Requests for Proposals (RFPs), analyzing tender submissions, and presenting recommendations to senior leadership. The role also involves evaluating supplier performance, managing purchase orders, and ensuring timely delivery of goods and services in alignment with project schedules.
The successful candidate will possess exceptional communication and analytical skills, fostering effective collaboration with internal teams, suppliers, and external stakeholders. You will leverage your expertise in procurement, negotiation, and supply chain management to achieve operational efficiency and deliver value for the company. This role also demands a commitment to fostering strong supplier relationships and ensuring compliance with industry best practices.
ACTIVITIES :
Prepare comprehensive RFPs for tendering commodities, ensuring all required information is included. Follow up with suppliers to confirm receipt of RFP documents and adherence to submission deadlines.
Analyze supplier quotes for completeness and accuracy, ensuring alignment with RFP requirements. Present findings and recommendations to the Director of Procurement and other stakeholders.
Issue purchase orders (POs) for projects, including prototypes, mockups, and production rollouts, while adhering to established schedules and timelines.
Assess and monitor supplier performance, providing input for the management of the Preferred Vendor list and strategic supplier initiatives.
Track and review specification revisions issued by designers or consultants, ensuring updates are reflected in tender documents and POs.
Expedite and manage the delivery of goods according to project schedules, maintaining detailed delivery status reports and mitigating potential warehousing costs.
Manage freight logistics, including tendering freight with various providers to ensure cost efficiency and timely delivery.
Resolve PO-related issues, such as returns, deficiencies, quality concerns, and delivery delays. Ensure POs are properly closed out.
Prepare detailed reports, including Delivery Status Reports and Submittal Tracking, to provide insights into procurement activities.
Collaborate with procurement colleagues to identify and implement opportunities for process improvements and cost savings.
