Overview

We are currently looking for a Business Operations Manager to provide executive-level support to the General Manager and Executive. This individual will be instrumental in driving administrative efficiency, internal coordination, and organizational excellence throughout the entire team.

This role pays an annual salary of $65,000-$75,000

This position will remain open until November 14, 2025.

Responsibilities

Executive & Administrative Support:

  • Provide high-level administrative and strategic support to the General Manager and senior leadership, acting as a central coordination point for executive operations.
  • Manage complex calendars, schedule internal/external meetings, and coordinate logistics across departments and external stakeholders.
  • Draft and prepare reports, presentations, memos, and correspondence with accuracy and professionalism.

Communication & Coordination:

  • Support internal communications including meeting agendas, staff notices, town hall materials, and follow-up documentation.
  • Track timelines, action items, and deliverables across key projects and initiatives; proactively follow up to ensure accountability.
  • Act as a liaison between the executive office and internal departments, promoters, partners, and key stakeholders.

Operations & Logistics:

  • Plan and execute logistics for executive meetings, VIP visits, and partner engagements, including catering, AV, scheduling, and materials.
  • Arrange travel for executives and visiting staff; prepare and reconcile expense reports in accordance with company policy.
  • Maintain organized digital and physical filing systems, ensuring confidentiality and efficiency.

Departmental Support:

  • Support contract tracking and invoice processing in collaboration with Finance and Legal.
  • Assist in organizing staff culture initiatives, recognition efforts, and internal events.

Process Improvement & Coverage:

  • Identify and implement opportunities to streamline administrative processes, tools, and workflows.
  • Provide coverage and backup support for other administrative team members to ensure business continuity.
Qualifications
  • 5-7+ years of progressive experience in an administrative, executive assistant, or office management role.
  • Proven experience supporting senior executives in a fast-paced, high-volume environment.
  • Background in entertainment, live events, hospitality, or sports is considered an asset.
  • Exceptional organizational, multitasking, and time management skills.
  • Excellent written and verbal communication with strong attention to detail.
  • Discreet, professional, and trustworthy with the ability to handle confidential information.
  • Technologically savvy: proficient in Microsoft Office Suite
  • Proactive, solution-oriented, and collaborative mindset.
  • Willingness to work flexible hours including evenings and weekends during major events or peak periods.
