As a Business Centre Assistant, and a member of the National Business Centre & Facilities Team, you are responsible to perform a variety of department functions / deliverables such as photocopying services, mail and courier, document scanning, electronic faxing, office supplies management and inventory. You will also support in maintaining the physical office environment; office moves, set ups, coordinating repairs and maintenance and other related services.

As a Business Centre Assistant, and a member of the National Business Centre & Facilities Team, you are responsible to perform a variety of department functions / deliverables such as photocopying services, mail and courier, document scanning, electronic faxing, office supplies management and inventory. You will also support in maintaining the physical office environment; office moves, set ups, coordinating repairs and maintenance and other related services.

Please note that this role has a requirement to work onsite in the Montreal office at all times. This role will provide support to firm members both onsite and remotely, but the successful candidate will always work from the Montreal office.

What You’ll Do

The role is to support the day-to-day operations and to provide a diverse range of services, which include but are not limited to the following :

  • Support in maintaining the office environment; office moves and workspace setups for new hires and departures
  • Coordinate furniture / equipment repairs and maintenance
  • Responding to firm member’s request on facility matters
  • Security access card activations / administration
  • Sorting, digitizing, and archiving incoming mail and couriers
  • Processing outgoing mail and couriers using carrier platform
  • Sending and distributing incoming electronic faxes
  • Digital imaging
  • Printing, collating and binding documents
  • Track monthly statistics
  • Maintaining office supplies inventory, ordering, and stocking new inventory
  • Monitor department equipment, troubleshoot minor issues and coordinate repairs
  • Assist with Business Centre and Facility projects
  • Support Events Team with events setups
  • First aid & Evacuation Team Responder
  • Other administrative duties as required

What You Bring

Minimum of 2 years of experience in a professional office environment. You have established yourself as a key resource in your successful career with your excellent customer service and communication skills, technology skills and ability to maintain a calm, positive and professional demeanor. You are able to act with discretion, respect for client confidentiality and exercise sound professional judgement and can take direction well and feel comfortable working independently or collaboratively within a team. Strong computer skills and proficiency and ability to learn new specialty software used by the Business Centre Department. You have the ability to take initiative, manage multiple tasks and priorities often under tight deadlines and have the flexibility to occasionally work shifts outside of regular working hours in order to accommodate meetings and events. You are proficient with Microsoft Office 365 tools including, Word, Excel, and Outlook. The ability to lift / move heavy items up to 40 pounds is also a requirement for the role.
