POSITION FUNCTION :

This Business Analyst performs standardization of documents, data mining, maintenance, troubleshooting of Power Automate flows, creation and maintenance of comprehensive documentation for automated processes, and works with teams and stakeholders to drive process improvements using technology.

KEY DUTIES AND RESPONSIBILITIES :

  • Maintain knowledge of trends, protocols, and procedures essential for the operation of the program, project, or service.
  • Ensure collection and preparation of project information in a suitable format for submission to management, funders, consultants, and partners.
  • Develop and maintain systems procedures and practice standards.
  • Conduct data mining tasks accurately and timely.
  • Troubleshoot report issues, archive outdated data lists, and create new data lists for fiscal periods.
  • Review automations for errors and update status reports.
  • Provide emergency fixes and support for staff when automations malfunction.
  • Map and keep automation documentation up-to-date, including flow charts and BPMN.
  • Update process maps and create new versions to document process history.
  • Maintain records of automations, including flow URLs, names, descriptions, triggers, actions, and purposes.
  • Organize Power Automate Flows with proper documentation and naming conventions.
  • Design and implement new automations to streamline processes.
  • Maintain and update existing automations for optimal performance.
  • Create visual learning tools and video training for new processes using software like Scribe.
  • Develop training materials to minimize user errors and document interactions.
  • Oversee SharePoint site organization for ease of navigation and information retrieval.
  • Ensure comprehensive documentation for process management and automation.
  • Support ongoing projects under the guidance of the Senior Business Analyst.
  • Collaborate with teams to identify and implement technology-driven process improvements.
  • Analyze workflows to enhance efficiency and effectiveness.
  • Develop standardized documents such as flowcharts and training materials.
  • Establish protocols for new process requests and changes.
  • Assist in managing finances, resources, and project budgets.
  • Participate in hiring, training, and supervising staff as needed.

DESIRED SKILLS AND QUALIFICATIONS :

  • Knowledge of Business Process Mapping & Re-Engineering, Project/Program Management, proficiency in Office365 (SharePoint, Teams, Visio, Power Apps, Automate, BI), ERP & CRM Systems, Privacy Legislation, security practices, risk management, workflows, automation, and database software.
  • Post-secondary degree or diploma in business, systems management, computer sciences, information technology, or equivalent experience and coursework.
  • 2-3 years of experience in Business and/or Information Systems, with experience in Microsoft CRM and financial applications. Experience in multi-service/multi-site organizations is preferred.
  • At least 2-3 years of experience with SharePoint, Power Apps, Automate, and BI, demonstrating strong technical and analytical skills.
  • Ability to incorporate data and financial analysis into decision-making.
  • Highly organized with the ability to prioritize and meet deadlines.
  • Project management, problem-solving, and troubleshooting skills.
  • Strong written and verbal communication skills; proficiency in additional languages is an asset.
  • Interpersonal skills with cultural sensitivity.
  • Ability to work independently and lead a team.
  • Tactful, discreet, diplomatic, patient, flexible.
  • Current satisfactory Criminal Record Check required.

BONUS SKILLS / CERTIFICATIONS :

  • Experience with not-for-profit or government operations is an asset.

HOURS : Full-time position (35 hours/week), Monday to Friday.

The successful candidate may work a hybrid model (combination of in-office and remote work).

Must be able to commute to the Boundary office at 5575 Boundary Rd., Vancouver, BC (V5R 2P9).

BENEFITS :

Competitive benefits package for contracts of at least 1 year, with a minimum of 17.5 hours/week.
