Overview

This position supports the Real Property Planning and Management Branch and the researchers, engineers, and technicians in fulfilling project goals.

Role

The Building Operations Assistant (BOA) supports the Real Property Planning and Management Branch. The incumbent would share our core values of Integrity, Excellence, Respect and Creativity and works in a busy, diverse work site.

Responsibilities
  • Coordinate and handle all shipping and receiving needs of the client and property.
  • Perform security screening of staff and contractors, invoicing, surplus of retired equipment, quotes, and operation of pallet jack to move material.
  • Coordinate day-to-day activities and support the Operations team as needed (escort contractors, assist with small physical maintenance tasks, perform monthly inspections, set ups and teardowns for the client, prepare office space, monitor accessibility for new hires).
  • Support a 37.5-hour work week with occasional overtime; no shift work and no regularly scheduled weekends.
Responsibilities – Additional Context

You will handle many priorities in a busy site and play a key role in assisting clients to achieve their larger goals.

Qualifications

Screening Criteria

Education
Successful completion of secondary school according to provincial standards. For information on certificates and diplomas issued abroad, see Degree equivalency.

Experience
Significant experience (2-6 years) reporting and tracking data using MS Office (Word, Excel, Outlook); performing administrative duties (filing systems, documenting procedures, drafting correspondence); and working in a shipping, receiving, and stores environment with:

  • Inspection and verification of incoming goods against purchase orders
  • Preparing and packaging items for dispatch in accordance with handling requirements
  • Managing inventory and stock rotation; coordinating with couriers/freight carriers
  • Maintaining accurate records using inventory or warehouse management systems

Significant experience providing first-level client support in a fast-paced environment.

Assets
Experience following procedures in compliance with the Transportation of Dangerous Goods (TDG) program; experience entering and updating data in SAP for procurement and material management.

Condition of Employment
Must possess and retain physical capabilities to perform duties (lift/carry up to 45 lbs, twist, bend, reach). Reliability Status: verification of background information over 5 years is required.

Compensation
