Job summary

Sterling Crane Canada is seeking a motivated Branch Administrator to support Victoria and Vancouver operations from our Vancouver, BC branch. You will manage quotes and orders, invoicing and customer accounts, labor hours, billing, and vendor management while ensuring procedures align with SOPs and client requirements.

This full‑time hourly role is based on-site at the Vancouver branch with some travel. You’ll collaborate with multiple departments, assist with onboarding, travel bookings, and

Qualifications

  • High School Diploma (or equivalent) required.
  • 1-3 years administrative experience in related industry.
  • Experience with unionized payroll environments, FCC, or other ERP systems preferred.
  • Strong Customer Service skills with the ability to speak fluently with customers under pressure.
  • Solid work ethic and able to work additional hours as needed
  • Proficiency in Microsoft Excel, Word, Outlook, and PowerPoint.
  • Ability to prioritize work and communicate effectively with multiple departments.
  • Good communication skills; must be comfortable engaging in verbal, non-verbal, and written modes with active listening.
  • Ability to assess multiple tasks and develop a plan to complete them in a timely manner.

Responsibilities

  • Act as FCC Facilitators within Branch Administrative processes.
  • Oversee Administrative processes for the Victoria and Vancouver, BC regions with time entry and union clauses.
  • Client invoicing inclusive of third-party portal billing, daily costing reporting and aging receivables management.
  • Process supplier payables and ensure recharges are completed.
  • Onboarding and offboarding employees and temporary workers, training setup, safety orientation, and handbooks.
  • Booking hotels and travel arrangements for hourly workers.
  • Some event management (employee events, venue booking, food).
  • First line of customer service for Branch operations; coordinate shipments and couriers.
  • Create and supply reports as necessary to Management staff.
  • Document control, auditing and other administrative tasks as required.

Sterling Crane is looking for a motivated and detail-oriented Branch Administrator who will perform a wide range of business support activities required for efficient branch operations in accordance with Standard Operating Procedures and customer requirements. Key activities of this role include quote and order management, invoicing and customer account management, billing and labor hours processing, customer service and vendor management. This role will support Victoria and Vancouver, BC operations from our branch in Vancouver, BC.

Job Type

Full-time hourly position.

Location

On-site in branch at 10 Burbidge St, Coquitlam, BC V3K 5Y5, Canada.

Working Hours

8:00 AM to 5:00PM EST, Monday to Friday (40hours/week).

Travel Requirement

Some travel may be required, as needed by business (i.e. vacation coverage, project work with extended hours, etc.).

Reporting To The Branch Manager, The Branch Administrator
Key Responsibilities
  • Act as Fleet Cost & Care (FCC) Facilitators within Branch Administrative processes.
  • Oversee Administrative processes for the Victoria and Vancouver, BC, regions as related to time entry and related application of union collective agreement clauses, onboarding/offboarding, various accounting duties including month-end reconciliation.
  • Client invoicing inclusive of third-party portal billing, daily costing reporting and payment certifications and aging receivables management.
  • Process supplier payables and ensure recharges are completed.
  • Onboarding and offboarding employees and temporary workers, such as assisting in setting up new employee training, assisting with hardware/software requests, arranging safety orientation, review of employee handbooks.
  • Booking hotels and travel arrangements for hourly workers.
  • Some event management (employee events, venue booking, food).
  • Act as the first line of customer service for Branch operations by answering phones, receive shipments and mail, coordinating with couriers, etc.
  • Create and supply reports as necessary to Management staff.
  • Document control, auditing and other administrative tasks as required.
