The Opportunity
  • Are you a detail-oriented professional who values accuracy, organization, and client service? We are looking for a Billing Administrator to join our collaborative and growing finance and accounting team. In this role, you will be at the heart of our project billing operations, ensuring client invoices are accurate, timely, and aligned with contractual terms, and playing a key role in supporting project teams, clients, and accounting.
Responsibilities
  • Project Setup and Billing Terms: Ensure accurate project setup with correct contracts, POs, AFEs, and billing configurations.
  • Invoice Preparation and Submission: Generate and submit timely, accurate invoices in line with client specific requirements, in collaboration with Project Managers and Accounting, including portal uploads and deadline tracking.
  • Accounts Receivable and Collections: Monitor outstanding invoices, follow up on overdue accounts, and escalate as needed to support collections.
  • Client and Data Management: Maintain accurate client records, ensuring data integrity and legalcompliance.
  • Documentation and Audit Support: Maintain organized billing records and assist with audit and compliance documentation requests as needed.
  • Team Collaboration: Build strong relationships with Project Managers, respond to billing inquiries, and contribute to finance team initiatives as needed.
About You and Your Qualifications
  • 2-4 years experience in billing, accounts receivable or similar accounting role, preferably in the project, professional services or consulting industry.
  • Experience with project management and project accounting software, previous experience with Deltek Vantagepoint is an asset.
  • Enthusiastic and positive attitude; organized and adaptable with a passion for consistently delivering outstanding work.
  • Working knowledge of billing, including understanding of contracts, POs, and AFEs.
  • Strong attention to detail and accuracy.
  • Excellent time management skills with the ability to manage multiple deadlines.
  • Effective verbal and written communication skills.
