We currently have an exciting opportunity as a Bilingual Receptionist for a one-year contract. This role is based in our Oakville office and reports to the Executive Assistant.

Job Summary

We are seeking a motivated, ambitious, and dynamic team player to fill the position of Receptionist / Administrative Assistant. The ideal candidate must be fluent in both English and French.

The responsibilities include:

  • Reception duties such as answering phones, greeting customers and suppliers, and maintaining a visitor log.
  • Sending and distributing mail and couriers; managing the stamp machine.
  • Creating and receiving POs, and following up with accounts payable as needed.
  • General office duties including ordering supplies, maintaining office equipment, booking boardrooms, hotel reservations, and overall office management.
  • Communicating office repair/maintenance needs to maintenance, the office, and outside vendors.
  • Providing support to the Oakville customer service team when needed.
  • Performing other tasks as assigned.
Qualifications & Experience
  • Educational background in administration.
  • 2-3 years of experience in an administrative role.
  • Bilingual in French and English, both written and verbal.
  • Strong communication skills and professional phone manner.
  • Detail-oriented with strong organizational skills; ability to multitask and prioritize.
  • Ability to work independently and as part of a team.
  • Diplomacy and tact in dealing with a wide range of people and positions.

The candidate must be available to work in the office Monday to Friday from 8:30 am to 5 pm, including occasional Canadian holidays and between Christmas and New Year.
