Bilingual Executive Assistant to the CEO Office

What will you do?

We are seeking a highly proactive and detail-oriented Bilingual Executive Assistant to manage the administrative responsibilities for our Chief Executive Officer. This individual will serve as a trusted representative of the CEO's Office, demonstrating professionalism, agility in adapting to change, and composure under pressure.

Success in this role requires strong ownership, organizational skills, and the ability to prioritize strategically, coordinate multiple tasks and projects, and synthesize information to support informed decision-making.

Responsibilities

  • Oversee daily operations with senior managers and department leaders, managing calendars, correspondence, expense reports, and preparing or modifying materials and agendas.
  • Manage and maintain executive schedules, coordinate meetings, and arrange travel and accommodations using Concur (local, national, and international).
  • Collaborate with support teams to ensure operational information is efficiently communicated across the organization.
  • Assess, prioritize, and respond appropriately to inquiries, exercising sound judgment.
  • Operate autonomously, exercising discretion and strategic decision-making on diverse assignments and projects.
  • Handle sensitive and confidential matters with integrity.
  • Review reports for accuracy and completeness before presentation.
  • Draft, refine, and format key documents, including presentations, correspondence, reports, memos, and emails.

Qualifications and Requirements :

  • 8 to 10 years of experience supporting senior executives as an Executive Assistant.
  • Excellent written and verbal communication skills in French and English.
  • Proven expertise in strategic advising, technical proficiency, and acting as a trusted resource for executive decisions.
  • Advanced proficiency in MS Office, especially PowerPoint, with high attention to detail.
  • Strong interpersonal skills to foster impactful relationships.
  • Ability to handle confidential information professionally.
  • Exceptional organizational and time management skills in a fast-paced environment.
  • Adaptability and efficiency in dynamic settings, ensuring accuracy.
  • Relationship-building skills to facilitate approvals and gather information.
  • Self-motivated, proactive, and flexible, with a focus on productivity enhancement.
