This position can be based out of Toronto, Vancouver, Calgary, or Montreal. It benefits from a fully remote work schedule.
Shifts (remote):
- Tuesday to Saturday 12 PM - 8 PM ET
- Monday to Friday 7 PM - 3 AM ET
Salary Range: $52,000 - $62,000 annually
As a Bilingual Document Specialist, your responsibilities will include:
- Creating various legal and other documents through copy typing, transcription, scanning, or other methods, including converting styles, mail merges, inserting media into presentations, cross-referencing, indexing, creating tables (including financial tables), working with graphs and objects, and using graphics applications.
- Proofreading and checking documents for formatting, spelling, grammar, clarity, and accuracy, including document version comparisons and corrections.
- Developing understanding of the Firm’s procedures for document production from precedents.
- Responding promptly to requests, meeting deadlines, and collaborating with other departments and individuals.
- Applying word processing expertise to complex legal and other documents.
- Managing workload fluctuations with minimal supervision.
- Performing quality control and reviewing work of others as needed.
- Offering assistance and mentorship to team members.
- Managing document production requests, prioritizing, and coordinating work.
- Supporting document production using Microsoft applications such as Word, Excel, PowerPoint, Visio.
- Logging, tracking, and responding to support requests in a timely manner.
- Managing escalation and problem ownership related to document production support.
- Reviewing procedures and recommending solutions for document support issues.
- Performing other duties as assigned.
As our ideal candidate, you will have:
- A college certificate in office administration, legal specialization, or related field.
- At least three years of experience in a professional environment, with experience in document production being an asset.
- Minimum MOS Certification in Word or completion within 1 year of employment.
- Knowledge of legal terminology and procedures is an asset.
- Excellent attention to detail and skills in spelling, grammar, and proofreading in both French and English.
- Strong interpersonal and communication skills.
- Ability to transfer knowledge effectively using various techniques and software.
- Patience, flexibility, and effective stress management.
- Well-organized with meticulous attention to detail.
- Approachable and personable demeanor.
- Strong analytical and problem-solving skills.
- Ability to adapt to different work schedules, including weekends and holidays.
- Confidence in working independently and making decisions.
- Typing speed of 80-100 words per minute.
