Overview

We are seeking a highly organized, proactive, and strategic bilingual Executive Assistant to become an indispensable partner to a C-suite executive. This role is critical to the executive's success, demanding a professional who can anticipate needs, flawlessly manage complex administrative tasks, and contribute to strategic objectives. The ideal candidate will thrive in a fast-paced, high-confidentiality environment, acting as a key gatekeeper and ensuring the seamless operation of the executive's office.

Location : Toronto, ON

Position Type : Permanent, Full-Time

Work Model : Hybrid (Strong preference for 2-5 days / week in-office)

Responsibilities
  • Executive Support : Provide comprehensive administrative and logistical support, enabling the executive to focus on high-priority strategic initiatives.
  • Calendar Management : Orchestrate and manage a dynamic and complex executive calendar, strategically scheduling appointments, de-conflicting priorities, and coordinating across multiple time zones.
  • Communication & Inbox Management : Act as a primary gatekeeper for the executive by managing their inbox, triaging incoming requests, and drafting professional emails and correspondence.
  • Travel Coordination : Arrange and manage comprehensive domestic and international travel itineraries, considering stakeholder preferences and ensuring all logistical details are handled seamlessly.
  • Stakeholder & Account Coordination : Perform heavy and complicated account management, coordinating with internal teams and external partners to manage relationships and ensure smooth operations for visiting leadership.
  • Logistical Oversight : Manage conflicting priorities and multiple incoming requests efficiently, ensuring deadlines are met and operations run smoothly.
Qualifications
  • Bilingual (English and French; written and spoken)
  • 5 years of experience in a similar role
  • Organizational Prowess : Highly organized with an exceptional, meticulous attention to detail. Proven ability to remain calm and effective under pressure.
  • Strategic & Proactive Mindset : A forward-thinker who anticipates needs and understands the "why" behind tasks, rather than just completing a checklist.
  • Communication Skills : A strong and articulate communicator, capable of collaborating effectively with internal and external stakeholders at all levels.
  • Technical Proficiency : Tech-savvy with advanced proficiency in the M365 suite (Outlook, Teams, Word, etc.). Experience with CRM software (e.g., Salesforce) is a significant asset. Openness to adopting new technologies, including AI tools.
  • Professional Attributes : Possesses strong business acumen and critical thinking skills. Demonstrates a strong backbone, recognizes professional boundaries, and is thick-skinned and deeply committed to the role's success and demands.
