Your Role:

In this role, you will support our office operations and provide administrative support to multiple senior leaders and their respective departments. The ideal candidate will be fluent in both English and French and possess strong organizational skills to manage general office administration, vendor management, calendar management, preparing information, managing invoices, assisting with projects and presentations alongside other duties. The incumbent must have the ability to manage multiple competing priorities in a fast-paced and complex environment without loss of composure. Strong communication and interpersonal skills are also required in order to interact at the executive level. This role is critical in ensuring the smooth functioning of our office environment while providing exceptional support to our team.

What you'll be doing:

  1. A. General Office Administration
    • Manage day-to-day office operations.
    • Maintain office supplies inventory and order supplies as needed.
    • Prepare and distribute internal communications, reports, and documentation.
    • Support mailing, shipping, and receiving.
    • Assist with scheduling meetings, events, coordinating travel arrangements, and managing calendars for team members.
    • Ensure a clean and organized office environment.
  2. B. Vendor/PO Management:
    • Liaise with vendors and service providers to negotiate contracts and manage ongoing relationships.
    • Monitor vendor performance and ensure compliance with service agreements.
    • Process invoices and maintain accurate records of all transactions related to vendors.
    • Assist in identifying and sourcing new vendors to meet company needs.
  3. C. Facilities Maintenance:
    • Oversee maintenance requests and coordinate repairs with external contractors and service providers.
    • Conduct regular inspections of the office to ensure compliance with health and safety regulations.
    • Serve as a point of contact for facility-related issues and concerns.
  4. D. Translation Services:
    • Light translation for internal communication and documents.
    • Manage translation services requests across departments.

What you'll bring:

  • Bachelor's or Diploma in Business Administration or similar.
  • 3 - 5 Years of corporate experience with a global organization.
  • Must be Bilingual (French/ English).
  • Proficient Verbal and Written French and English.
  • Proficient with Microsoft Suite of products.
