Job description

KGS Group is seeking for a highly organized, detailed-oriented and proactive Bilingual (English/French) Administrative Assistant to join our Winnipeg 895 office. This role involves managing and organizing the workflow of documents for multidisciplinary engineering projects and performing a variety of administrative and clerical tasks.

The Role

As KGS Group continues to develop strong technical delivery teams, we are looking to add support with a focused bilingual administrative assistant to support our large water resource and multidisciplinary projects. You would be working on new and ongoing projects providing day to day administrative support. This role would focus on the document life cycle of all deliverables related to the project ensuring compliance of procedures, tracking of deliverables, working in collaboration with administrative and coordination staff, all while meeting project deadlines.

Your Key Responsibilities:

  • Provide verbal and written communication in both French and English to support internal and external stakeholders; ensure bilingual documentation, correspondence, and client interactions meet organizational standards. Provide support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities.
  • Provide administrative support for the development of letters, reports, and proposals, ensuring compliance with KGS Group’s controlled document formats and content.
  • Produce, update and provide best document control practice support on documents, databases and other departmental systems to support the work of projects.
  • Process and manage engineering documents in compliance with established guidelines and client specific procedures.
  • Support Hydro-Québec projects by assisting with translating documents and facilitating both verbal and written bilingual communication. Manage general office duties and maintain front desk coverage.
  • Exercise confidentiality and ethical practices in all work activities.
About You

We are looking for a candidate who brings a strong combination of qualifications and experience. Key requirements include:

  • College or University Diploma/Degree in Administration with 3-5 years of experience.
  • Previous experience in an engineering consulting or construction environment is considered an asset.
  • Knowledge of engineering terminology is an asset.
  • Proficiency with Microsoft Word, Excel, Adobe Pro or Exchange, Outlook and Microsoft Teams.
  • Excellent written and oral communication skills in both English and French are essential. Fluency in speaking, reading, and writing in both languages is required; language proficiency testing will be conducted prior to hire. Proven ability to manage multiple tasks, adapt to changing priorities, and meet tight deadlines effectively. Strong organizational, interpersonal, and communication skills.
  • Ability to build relationships and collaborate with employees and senior management.
