Job Description:

POSITION SUMMARY (Hybrid – in office 3 days per week (Waterloo)

The successful candidate will be required to support the organization in the area of Benefits.

Specific Accountabilities

North America

  1. North America employee benefit plan related requests via email, phone, and/or meetings and updates to their coverage.
  2. Confirm weekly new hires are covered correctly in Workday and with our benefit providers.
  3. Process Leave of Absence (LOA) requests.
  4. Assist in our annual Open Enrolment, including managing requests or questions from employees as well as connecting with our benefit providers.
  5. Assist with companywide wellness initiatives, coordinating wellness sessions and onsite fitness programs. Create session registrations, track attendance, draw the monthly wellness prize winner, and assist in scheduling new sessions, both external and internal.
  6. Process disability claims while liaising with our provider and our employees, promoting positive employee relationships.
  7. Wellness Fairs - Manage invitation list, send out coordination emails, book rooms, and coordinate the vendors.
  8. Assist in organizing Flu Shot & Health Screening Clinics with our third-party companies to provide onsite flu shots to employees.
  9. Other reporting and data audits as required, such as overage student audit.

Globally:

  1. Workplace Options (EAP) – invoices, headcount report, wellness sessions.
  2. Process day-to-day Benefits related invoicing for Benefits North America, EMEA, and APAC.
  3. Manage prompt delivery of Retirement awards for retiring employees globally, including connecting with managers on the location of delivery.
  4. Coordinate monthly headcount report and distribute.
  5. Assist with the administration of EMEA & APAC Benefits, including answering questions via email, phone, and/or meetings and updates to benefit coverage.
  6. Assist with updating internal websites and other benefit material.
  7. Workday testing to ensure data accuracy and validate system functionality, including creating test cases, executing tests, and documenting findings.

Essential Skills And Qualifications

  1. High School, College Diploma or University Degree.
  2. Excellent communication (verbal and written), customer service, and interpersonal skills.
  3. Project management and analytical skills.
  4. Ability to work concurrently on multiple projects.
  5. Dedicated team player, who demonstrates initiative and independence.
  6. Ability to effectively communicate with all employees and people of varying cultures.
  7. Experience in Word, Excel, PowerPoint is an asset.
  8. Previous administration experience is an asset.
