The Opportunity

This position is responsible for the administrative support of multiple Group Benefits and Retirement (RRSP and pension) programs in Oracle HCM. It is also responsible for providing guidance to our residences in Quebec, Ontario, Alberta and British Columbia on Group Benefits for active employees and those on a leave of absence. All duties are performed in accordance with Chartwell’s vision, mission and value statements.

Key Accountabilities
  • Benefits & Retirement Plan Administration
    • Serve as the main contact for group benefits and retirement plans across assigned residences.
    • Process benefits and retirement enrollments in HCM for hires, job changes, transfers, and terminations, including managing exceptions.
    • Maintain up-to-date administrative records for all plans.
    • Forward RRSP applications to the vendor in a timely manner.
    • Conduct audits on eligibility and participation.
    • Support the semi-annual pro‑ra process as needed.
  • Leave of Absence & Employee Support
    • Prepare benefit‑related leave forms for employees on absence.
    • Support the leave process as directed.
    • Ensure confidentiality of employee personal information.
  • Projects & Community Engagement
    • Contribute to special projects as assigned.
    • Act as an ambassador with residents, families, staff, volunteers, and visitors.
Qualifications
Education
  • Completion of a post‑secondary diploma in Human Resources, Business or other relevant field.
Experience
  • Minimum of two (2) years working in benefit and retirement plan administration.
Skills & Abilities
  • Bilingual in English and French (spoken and written)
  • Detail‑oriented with strong organizational skills
  • Knowledge of various benefits and pension plans
  • Understanding of how benefits impact payroll
  • Strong customer service skills with professionalism and discretion
  • Excellent time management; able to plan, prioritize, and multitask
  • Clear and effective communicator at all organizational levels
  • Strong interpersonal skills with the ability to build positive relationships
  • Works well independently and collaboratively
  • Able to interpret and apply company policies and procedures
  • Skilled in preparing reports and presenting findings
  • Maintains strict confidentiality
  • Proficiency in Microsoft Word and Excel
Effort

The mental effort is high and requires attentiveness and/or concentration with people and a computer screen. The physical effort is moderate requiring keyboarding, walking, and sitting.

Working Conditions

Work is generally performed in an office environment.
