Job description

The Opportunity

The Office Administrator reports to the Office Manager and works closely with the Executive Director. This position is responsible for overseeing the front office operations, ensuring that the facility runs smoothly and efficiently. This includes greeting and directing visitors, contractors, and staff, while answering inquiries in a positive and professional manner.

What You Will Do

  • Front Office Operations: Greet, assist, and direct all visitors and contractors; manage incoming and outgoing mail; maintain the mail machine; and coordinate courier services.
  • Administrative Support: Take leadership meeting minutes, update phone and distribution lists, and assist with scheduling, staffing, and payroll during absences.
  • Office Management: Ensure a clean, safe, and fully stocked office supply room while promoting an organized and efficient workspace.
  • Project & Emergency Preparedness: Support project management tasks as assigned by leadership and assist with updating and maintaining the emergency response manual.
  • Relief & Recruitment Support: Provide coverage for the Office Manager as needed and participate in interviewing and hiring processes.
  • Team Contribution: Complete additional duties as assigned by the Executive Director while upholding and promoting AgeCare’s values of Respect, Trust, Quality, and Teamwork.


What You Bring

  • Strong Communication Skills: Above-average interpersonal, oral, and written communication abilities, with a polished and professional telephone manner.
  • Administrative Experience: Previous reception or office administration experience is considered an asset.
  • Multitasking & Organization: Proven ability to manage multiple priorities under pressure while maintaining accuracy and attention to detail.
  • Technical Proficiency: Skilled in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
  • Professional Standards: Highly organized, dependable, and capable of working independently or as part of a team.
  • Screening Requirement: Current (within 6 months) Vulnerable Position/Sector Screening (VPS).
