We are looking for an Service Advisor / Administrative Assistant with experience in the automotive industry. Working as a part of the team, applicants must be willing to work full time Monday to Friday 8am -5pm, NO WEEKENDS OR HOLIDAYS

Shop Related : general housekeeping, inspection of shop supplies, assisting in other areas as needed

Service Advisor / Admin Assistant to join our team. In this role, you will manage customer interactions related to vehicle maintenance and repair, advise on necessary services, create and maintain service orders, The ideal candidate will possess strong communication skills, automotive knowledge, and a commitment to customer satisfaction.

Key Responsibilities

Customer Interaction :

  • Greet customers promptly and courteously in person, over the phone, and via the dealership's text-messaging system.
  • Listen carefully to customer concerns with high attention to detail.
  • Provide accurate information on service options, costs, and repair timelines.
  • Explain technical terms and services in an understandable manner.

Service Management :

  • Create and manage detailed service orders and repair estimates.
  • Schedule service appointments and manage the service calendar.
  • Coordinate with technicians to ensure timely and efficient service delivery.
  • Follow up with customers regarding additional services and repairs as needed.

Quality Control :

  • Review completed work to ensure it meets shop standards.
  • Address any customer complaints or issues promptly and professionally.
  • Ensure all service work is documented accurately and completely.

Sales and Upselling :

  • Identify and recommend additional services or repairs based on vehicle condition and manufacturer recommendations.
  • Promote service specials and maintenance packages to customers.
  • Maintain a good understanding of products and services offered to provide informed recommendations.

Administrative Duties :

  • Process invoices and handle customer payments.
  • Maintain accurate records of customer interactions, service orders, and vehicle history.
  • Assist with inventory management of parts and supplies as needed.
  • Customer / Parts pick up and drop off
  • Assist with a variety of administrative tasks, including copying and scanning documents.
  • Maintain tidiness of common areas.
  • Work closely with the service team to ensure smooth workflow.
  • Communicate effectively with service technicians to provide updates on customer needs and repair status.

Qualifications :

  • Prior experience in automotive service platforms highly preferred.
  • Experience in a customer-facing role within a car dealership / service shop and knowledge of basic automotive repair processes and systems are assets.
  • Excellent interpersonal spoken and written communication skills in English are essential.
  • Ability to work effectively under pressure while meeting timelines and providing exceptional customer service.
  • Must have a valid drivers license.
  • Highly organized and strong attention to detail
  • Ability to take direction and complete tasks as assigned
