Job summary

Real Estate Council of Ontario (RECO) is seeking an Audit & Inspection Coordinator to support the Audit & Inspection team in a hybrid environment. The role focuses on coordinating inspections, processing correspondence with brokerages, and providing essential support to inspectors.

The coordinator will maintain calendars, prepare materials, safeguard confidential information, and collaborate with internal and external colleagues to ensure timely inspections and accurate record-keeping.

Qualifications

  • Minimum of two years’ experience at the coordinator level.
  • Familiarity with real estate regulations is an asset.
  • Excellent computer skills including MS Office.
  • Professional interaction with registrants and brokerages.
  • Ability to work independently and in a team.
  • Strong organizational skills and attention to detail.

Responsibilities

  • Coordinate inspections by managing schedules and calendars.
  • Serve as primary contact with brokerages from scheduling to inspection day.
  • Prepare materials and ensure information is available before audits.
  • Maintain confidential information per RECO policies.
  • Organize and update electronic files and records.
  • Prepare pre-inspection documents for file transfer.
  • Plan tasks and workflow to support team performance.
  • Collaborate with team and internal/external colleagues.
  • Escalate risks and handle ad-hoc assignments.
  • Provide backup during absences.
  • Other duties as assigned.

The Real Estate Council of Ontario (RECO) is seeking an Audit & Inspection Coordinator for our Audit & Inspection team. We have one permanent position available to start immediately.

The role

Reporting to the Team Lead, Audit, the Coordinator supports the manager and team lead with standard, and program specific administrative and processing activities required for the successful administration of the Audit & Inspection program. Responsibilities include preparing, distributing and following up on correspondence with brokerages; inspection file coordination activities for inspectors; data entry and report preparation; and provision of program information and support to internal departments, registrants, and brokerage administration personnel.

Position responsibilities
  • Manage the schedules of a team of auditors and inspectors by coordinating inspections, maintaining inspectors’ calendars, collecting pre-inspection documentation, and serving as the primary point of contact with brokerages from scheduling through to the day of the inspection.
  • Monitor team calendars and adjust schedules to accommodate operational priorities and changing demands.
  • Support auditors and inspectors by preparing materials and ensuring all required information is available before an audit or inspection.
  • Maintain confidentiality and safeguard sensitive information in accordance with RECO’s policies.
  • Organize, maintain, and update electronic files and records, ensuring documentation is complete, and accessible while adhering to department records management procedures.
  • Prepare pre-inspection documents for file transfer to an auditor or inspector
  • Plan and prioritize individual/own assignments, tasks, and workflow to support team performance measures
  • Collaborate with team, internal and external colleagues
  • Develop awareness of risks and risk triggers, escalating as appropriate
  • Complete ad-hoc assignments delegated by management
  • Support issue resolution escalated by team
  • Act as back-up for colleagues and counterparts during absences
  • Other duties as assigned.
Qualifications and experience
  • Strong organizational and time management skills with the ability to manage multiple priorities and meet competing deadlines.
  • Ability to coordinate schedules and manage complex calendars.
  • Excellent verbal and written communication skills
  • Minimum of two (2) years’ experience at the coordinator level.
  • Strong understanding of the laws governing the real estate sector as they apply to compliant brokerage practices, experience in a brokerage or real estate environment an asset.
  • Excellent computer and software skills, particularly MS Office suite (including excel), CRM/databases, familiarity with brokerage software packages an asset.
  • Ability to deal with registrants, applicants, co-workers, service providers, and consumers in a professional manner.
  • Ability to function independently and in a team environment.
