General Purpose

The Office of Registrarial Services is seeking an experienced, collaborative, and strategic leader for the role of Associate Registrar, Enrolment & Scheduling. Reporting to the University Registrar, the Associate Registrar provides leadership for the processes, systems, services, and teams that support enrolment, academic records, academic calendars, course registration, graduation, transcripts, scheduling, and examinations across the University. As a member of the Registrar’s leadership team, the Associate Registrar advances a long-term vision for scalable, integrated, compliant, and student-centered enrolment and scheduling operations. The role leads complex projects, supports academic governance and policy implementation, strengthens data integrity and privacy practices, and fosters a culture of service excellence, collaboration, innovation, and continuous improvement.

Duties And Responsibilities
  • Oversee enrolment services and academic records operations, including registration workflows, grade submissions, program changes, continuation of study assessments, degree audits, graduation records, transcripts, confirmation letters, parchments, and academic calendar publication.
  • Provide strategic leadership for enrolment, academic records, and scheduling functions, ensuring processes, services, and supporting systems are effective, integrated, student-centered, and aligned with University priorities; lead improvements, implementation planning, change management, training, and communications to support successful adoption.
  • Ensure the accuracy, integrity, confidentiality, security, and appropriate use of student academic data in alignment with University policies, Senate requirements, ministry reporting obligations, records retention requirements, FIPPA, and accessibility standards.
  • Lead academic scheduling activities, including the annual course scheduling cycle, final and deferred examination scheduling, space utilization analysis, and scheduling conflict resolution.
  • Represent the Office of Registrarial Services on committees, working groups, and governance bodies; provide expert advice on academic and registrarial policies; and support the interpretation and implementation of policy decisions.
  • Provide leadership, supervision, coaching, and mentorship to the Enrolment & Scheduling team, including professional and support staff, while supporting staff development, performance, accountability, and an inclusive team culture.
  • Manage resources and budgets for the portfolio, including monitoring operating budgets, supporting revenue-generating activities, and advising the University Registrar on operational, policy, staffing, financial, and systems-related matters.
Requirements
  • Undergraduate degree required; a master’s degree is preferred.
  • Minimum of seven years of progressively responsible related experience, including experience in a postsecondary registrarial, enrolment, academic records, scheduling, student services, or comparable environment.
  • Demonstrated experience leading teams, supervising professional and support staff, coaching and mentoring employees, establishing performance expectations, and supporting professional development.
  • Experience with project management, business analysis, change management, process improvement, and implementation of technology-enabled service improvements.
  • Strong knowledge of higher education information systems and the policies, processes, and data practices that support enrolment, academic records, scheduling, and student service delivery.
  • Knowledge of privacy, accessibility, data security, records management, and compliance requirements, including FIPPA and AODA.
  • Excellent judgment, analytical, problem-solving, facilitation, negotiation, conflict resolution, communication, and relationship‑building skills.
  • Demonstrated ability to work effectively with students, faculty, staff, senior leaders, external partners, regulatory bodies, and other postsecondary institutions.
  • Experience supporting Senate, academic governance, policy development, or curriculum‑related processes.
  • Experience with academic scheduling systems, student information systems, reporting tools, and enrolment management processes.
  • Experience managing budgets, revenue‑generating services, vendor relationships, or cross‑functional institutional projects.
  • Ability to balance strategic, operational, and tactical priorities in a complex, fast‑paced, multi‑stakeholder environment.
