Agricorp is looking for an Associate Print Services and Records Coordinator to join the Customer Care Services team in the Program Delivery division.

The Role

The Associate Print Services and Records Coordinator is responsible for assisting the Print Services and Records Coordinator with the day to day coordination and administration of Agricorp’s print and mail requirements as well as records management processes for Program Delivery. This position will act as the initial point of contact related to print, mail and records services providing consultative, hands on support with external vendors and internal stakeholders in order to meet quality standards and delivery timelines.

In This Role, You Will

  1. Conduct routine, day to day support work related to the administration of Program Delivery’s print services, adhering to established standard operating procedures and quality standards.
  2. Conduct routine day to day support to ensure effective inbound/outbound mail distribution adhering to established standard operating procedures and quality standards.
  3. Ensure the effective processing of all program cheques/payments received from Agricorp’s Finance department.
  4. Ensure delivery of printed materials to internal clients/external vendor for effective distribution.
  5. Ensure immediate individual customer satisfaction with print and mail requirements.
  6. Resolve routine issues regarding print and mail distribution.
  7. Conduct routine day to day support work related to the maintenance of records management processes for Program Delivery in line with corporate standards and guidelines; ensures Program Delivery documents are filed in a timely fashion and are maintained according to standards.
  8. Provide support in the completion of the annual archiving process for Program Delivery files.
  9. Maintain monthly statistical reporting for all print, mail and records management.
  10. Assist in tracking and inventory of supplies for print and mail distribution to ensure corporate delivery needs are met by standard deadlines.
  11. Understand client expectations and act as a point of contact for customers to clarify information related to print and mail requirements.
  12. Act as a contact person in Customer Care for small routine tasks related to print, mail and records management processes and procedures.
  13. Ensure reconciliations of printing and mailing are reported accurately.
  14. Monitor customer satisfaction related to printing and mailing functions and provide results to the print coordinator and management.
  15. Identify, escalate and make recommendations to resolve complex issues requiring further investigation.
  16. Maintain a high level of confidentiality while working with business sensitive documentation.
  17. Establish and maintain working relationships with external service providers for the delivery of services.
Job status: Permanent position.

Work status: Full time in-office

Salary Range: $44,700 - $52,588

Location: Must live in Ontario to perform this role

Qualifications

  1. Post-secondary education (degree or diploma) in a related field (i.e. Forms design, Graphic design, Business) or equivalent experience.
  2. Previous experience with the printing industry and knowledge of print production and mailing techniques and practices.
  3. Demonstrated ability to work with staff at various levels and external vendors.
  4. Strong math skills and proficiency in data entry and computer applications.
  5. Experience using Microsoft Excel, Word, PowerPoint.
  6. Experience in Records Management an asset.
  7. Experience with the agricultural sector or insurance industry an asset.
