Job summary

Shoppers Drug Mart in Mississauga is seeking an Associate, Order Confirmation to join the Central Pharmacy Services fulfillment team. You will confirm orders, assist customer service inquiries, and ensure accurate data entry to maintain pharmacy records, enabling timely delivery of medications to stores across the network.

The role requires post-secondary education in Pharmacy or related field, 1–2 years in customer service, excellent written and verbal communication, and strong data-entry

Qualifications

  • Post-secondary education in Pharmacy, Business Administration, or a related field.
  • 1–2 years of experience in customer service, preferably high-volume.
  • Pharmacy setting or healthcare-related experience is an asset.
  • Strong written and verbal communication across all levels.

Responsibilities

  • Communicate with stores by phone and email daily to verify compliance pack orders and ensure order accuracy.
  • Accurately verify prescription details and enter data into the Excel spreadsheet for tracking and reporting.
  • Support store associates and pharmacists by troubleshooting transmission issues related to automated ordering processes.
  • Collaborate with CPS and IT teams to support store operations and resolve IT-related issues.
  • Deliver high level of customer service to store staff with prompt, professional support.
  • Work with internal pharmacists and production team to resolve operational issues.
  • Access NCTM confirmations through the e‑Sign platform to ensure regulatory compliance.
  • Utilize Excel to analyze, interpret, and summarize data for reporting and improvement.
  • Provide clear written updates on outstanding issues as needed.

Why this role is important?

Reporting directly to the Supervisor, Supply Chain, the Associate, Order Confirmation plays a key role in the daily operations of the Central Pharmacy Services fulfillment process. This position is responsible for confirming orders, supporting customer service inquiries, and ensuring accurate data entry to maintain the integrity of pharmacy records. Contributions help ensure timely and accurate delivery of medications to stores, supporting patient care across the network.

What You’ll Do
  • Communicate with stores via phone and email on a scheduled daily basis to verify compliance pack orders and ensure order accuracy.
  • Accurately verify prescription details such as counts, batch information, start date and order confirmations reference number into system records and ensure all verified information is consistently copied and maintained in the designated Microsoft Excel spreadsheet for accurate tracking and reporting.
  • Support store associates and pharmacists by troubleshooting transmission issues related to automated ordering processes.
  • Collaborate effectively with the CPS support and IT teams to support store operations and resolve IT‑related issues and incidents, ensuring timely follow‑up and resolution.
  • Deliver a high level of customer service to store staff through prompt, professional, and solution‑focused support.
  • Work closely with internal pharmacists and the production team to elevate and resolve any operational issues.
  • Access and manage NCTM confirmations through the government’s e‑Sign platform to ensure regulatory compliance.
  • Utilize Microsoft Excel to analyze, interpret, and summarize data for reporting and continuous improvement purposes.
  • Provide clear and concise written updates and reports on outstanding issues as needed.
What You’ll Need
  • Post‑secondary education in Pharmacy, Business Administration, or a related field.
  • 1–2 years of experience in customer service, preferably in a high‑volume or call centre environment.
  • Previous experience in a pharmacy setting or healthcare‑related role is an asset.
  • Strong written and verbal communication skills, with the ability to interact effectively across all levels.
  • Excellent organisational and time‑management abilities, with a proven ability to handle multiple priorities.
  • Proficient computer skills and the ability to quickly navigate various software systems.
  • High level of accuracy and efficiency in data entry, particularly for prescription‑related information.
  • Demonstrated ability to prioritise tasks and adapt to shifting demands in a dynamic environment.
  • Comfortable working in a fast‑paced setting where attention to detail and precision are essential.
  • Capable of performing repetitive tasks with speed and consistency over extended periods.
  • Flexible and adaptable, with a positive, collaborative, and team‑oriented mindset.
  • Able to work independently with minimal supervision.
  • Ability to work on occasional Stat holidays, depending on business needs.
