What can you expect from this position?
Reporting to the Associate Director, Employee & Labour Relations, you will serve as a key point of contact and provide vital administrative support to the Employee and Labour Relations (ER/LR) team. This role involves supporting policy and program development, assisting with workplace investigations and accommodations, managing data analytics and reporting on a variety of ER/LR matters, including grievances, performance, attendance, and layoff/recall processes. You will also support vendor and contract administration and contribute to the development of presentations, job aids, and other resources. This position offers an excellent opportunity to gain experience across a broad range of ER/LR functions in a dynamic and collaborative environment.
As an Associate, Employee & Labour Relations, you will:
- Act as lead and primary point of contact for various Employee and Labour Relations programs, processes, and initiatives, including lay-off/recall, probationary review process, check-in conversations, attendance management, etc.
- Administer the probationary review process, including following up with managers on probation status, preparing letters to confirm successful probation, and ensuring documentation is completed by the Manager and submitted to Human Resources for filing.
- Organize and administer attendance reviews and reporting on a quarterly basis, in collaboration with Total Rewards, HR Systems, and Human Resources Business Partners.
- Support assigned administrative facets of Employee and Labour Relations, including drafting routine correspondence, preparing communications related to Daylight Savings, Federal/Provincial/Municipal elections, coordinating meetings, and preparing presentations.
- Monitor Employee Relations and Accommodations inboxes and coordinate with the Manager on necessary responses and actions.
- Coordinate and administer payouts, historical edits, accrual adjustments, union leaves, etc., using UKG Dimensions (timekeeping system).
- Support in the management of service contracts within the Employee and Labour Relations unit.
- Assist and participate in the investigative process, including drafting questions and briefings, as required.
- Assist in the research, development, benchmarking, implementation, and monitoring of policies within the Human Resources Policy Framework, including collaboration with Legal Services on the Code of Business Conduct & Ethics and its related annual certification process.
- Participate in content development related to organizational learning within the Policy Framework and/or legislative compliance and regulatory obligations.
- Support in the preparation and execution of grievances, mediation/arbitration, and contract negotiations, as needed.
- Participate in continuous improvement and project initiatives, including preparing presentations, developing job aids, or acting as a Subject Matter Expert (SME) on behalf of the Employee and Labour Relations team.
- Build, maintain, and provide data analytics and trending with respect to employee-related matters, contracted services, and case management, including grievances, probation, and other employee-related issues.
This is the role for you, if you have:
- Post-secondary Degree or Diploma in Human Resources, Business Administration or related field
- 2 years’ experience of administration work in a Human Resources role, with demonstrated experience working in a unionized customer-centric environment
- 2 years’ experience analyzing data, creating and maintaining reports
- Past work experience using UKG is an asset
- Proficiency in using all Microsoft Office applications
- CHRP designation in progress, as well as policy development experience, are considered assets
- Effective relationship and team management skills
- Ability to obtain and retain Transportation Security Clearance at the designated level for the position
