The Team:

The Trivest Wealth Counsel team at Wellington-Altus Private Counsel offers a boutique approach to managing wealth backstopped by the significant resources of over $50 billion independent investment dealer firm and affiliates with offices across Canada.

The opportunity:

Reporting to Senior Portfolio Managers at Trivest Wealth Counsel, the Associate supports an ICPM team practice by managing account administration, client onboarding, operational workflows, and portfolio support activities. Working closely with the Portfolio Manager, the Associate is responsible for ensuring a high standard of accuracy, organization, and efficiency across all client-related processes.

The role also leverages technology, data analysis, and automation tools to streamline workflows, improve reporting, and enhance the overall client and team experience.

Key responsibilities include:
  • Technology & Process Improvement
    • Prepare and maintain reports, spreadsheets, and tracking tools to support business operations.
    • Leverage technology and productivity tools, including Microsoft Copilot, to improve efficiency and organization.
    • Identify opportunities to streamline processes and enhance workflow effectiveness.
    • Support operational initiatives and continuous improvement efforts across the practice.
  • Client Administration & Operations
    • Coordinate account opening and maintenance activities, ensuring accurate and timely completion of documentation and client records.
    • Manage account administration, transfers, cash movements, and other client service requests.
    • Maintain CRM data, spreadsheets, and operational tracking tools with a high degree of accuracy.
    • Monitor outstanding requests and proactively follow up with custodians and service providers to ensure timely resolution.
    • Act as a strong advocate for clients and the practice by confidently challenging, escalating, and resolving issues with custodians and external partners when service levels or outcomes do not meet expectations.
  • Portfolio & Practice Support
    • Support the Portfolio Managers with portfolio administration, reporting, research, and monitoring activities.
    • Prepare reports, spreadsheets, analyses, and meeting materials to support client reviews and business operations.
    • Conduct research on investment products, markets, industry developments, and operational processes as required.
    • Assist with marketing initiatives, presentations, and practice management projects.
The ideal candidate will possess:
  • Post-secondary education in Computer Science, business, finance, or any related discipline.
  • 2- 4 years’ financial services industry experience working in a high growth environment.
  • 2- 4 years’ experience in a customer/client-service facing role.
  • Equivalent combination of education and experience may be considered.
  • Previous experience in wealth management, financial services, operations, or administration is an asset.
  • Strong Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams)
  • Advanced proficiency in Microsoft Excel, including PivotTables, lookups, formulas, and data analysis.
  • Experience or demonstrated interest in AI tools (Co-Pilot), automation, and process improvement technologies.
  • Highly detail-oriented and exceptionally organized.
  • Technology-savvy with a strong aptitude for systems, data, and process optimization.
  • Resourceful, proactive, and comfortable working independently.
  • Confident in challenging issues, escalating concerns, and holding external partners accountable when required.
  • Eager to learn and grow within a high-performing Private Counsel team.
  • Demonstrates initiative, sound judgment, and a commitment to operational excellence.
  • Professional, with a high level of integrity and confidentiality.
  • Positive attitude and commitment to delivering high-quality client experience.
  • Strong ability to learn and adapt to new systems and technology.
