Position: Bilingual Executive Assistant to the CEO Location: West Island Schedule: 40 hours per week (Monday to Friday, 8am – 5pm) Compensation: Competitive salary and benefits
Overview:
The Executive Assistant will play a key role in supporting the Chief Executive Officer with daily operations. This position requires managing the CEO’s schedule, coordinating internal and external communications, and handling various administrative responsibilities. The ideal candidate is proactive, organized, detail-oriented, and highly discreet.
Key Responsibilities:
Manage the CEO’s calendar, including scheduling meetings, appointments, and travel; oversee personal commitments and administrative aspects of personal affairs. Proactively anticipate scheduling conflicts and resolve them efficiently.
Serve as the primary point of contact for internal and external stakeholders, handling correspondence with professionalism and confidentiality.
Prepare, edit, and proofread documents, reports, and presentations; maintain well-organized and accessible records.
Organize meetings, events, and off-site gatherings, including preparing agendas and collecting relevant materials.
Act as the main liaison for Board members, assisting with logistics and related support.
Manage the corporate calendar in coordination with other executive staff.
Prepare and process CEO expense reports in line with company policies.
Collaborate closely with other Executive Assistants and administrative staff to ensure smooth communication and coordination.
Handle sensitive information with absolute discretion.
Support the CEO on special projects, including research, summary preparation, and administrative tasks.
Qualifications:
Post-secondary education in a relevant field.
Minimum of 5 years of proven experience as an Executive Assistant, ideally supporting C-suite executives.
Exceptional organizational and time management skills.
Excellent verbal and written communication skills in both French and English.
Proficiency in Microsoft Office Suite.
Ability to manage multiple tasks while adapting to changing priorities.
