Job Description

Summary: The Assistant Project Manager will support the Project Manager in planning, coordination, and execution of all aspects of the project, ensuring it is completed on time, within scope, and within budget. The Assistant will work closely with internal teams, contractors, and stakeholders to facilitate efficient project delivery and support the successful completion of an impactful development.

What You'll Get To Do

Project Performance

  • Actively support the Project Manager in overseeing all aspects of project performance, including cost management, schedule adherence, quality control, and safety compliance throughout the project lifecycle.
  • Monitor and track project metrics to ensure the project progresses smoothly and stays on target.

Communication & Reporting

  • Lead the preparation and maintenance of clear and detailed communications and reports, collaborating with both the Head Office and on-site project teams to ensure stakeholders are always up-to-date.
  • Streamline the flow of information to keep all parties aligned and informed.

Coordination of Design & Constructability

  • Work closely with the Project Manager and consultant team to coordinate architectural and engineering drawings, ensuring everything aligns with project goals.
  • Identify potential constructability issues and proactively communicate solutions to the team to avoid delays.

Scope of Work Development & Trade Coordination

  • Play an essential role in the creation and refinement of trade contractor-specific scopes of work, ensuring all project-specific requirements are crystal clear and accurately conveyed.
  • Act as a key point of contact for contractors, ensuring that expectations are properly set and met.

Meeting Facilitation & Stakeholder Engagement

  • Assist in the preparation and execution of impactful project meetings, ensuring agendas are followed and key discussions are documented effectively.
  • Take an active role in meetings, driving action items forward and ensuring follow-through to keep the project moving forward seamlessly.

Document Control & Distribution

  • Own the distribution and management of all project-related documents, including drawings, contracts, and communications, ensuring timely delivery to stakeholders such as owners, consultants, and trade contractors.
  • Maintain an organized and efficient document management system for quick access and accuracy.

Estimating & Financial Support

  • Provide vital support in estimating and cost tracking, working alongside the Project Manager to ensure budgets are adhered to and financial constraints are met.
  • Assist with financial reporting to keep project spending on track and ensure resources are allocated appropriately.

Safety Compliance & Adherence

  • Ensure all project activities comply with safety regulations, maintaining a strong safety culture throughout the project.
  • Regularly review safety protocols and ensure that all team members are aware of their responsibilities, helping to mitigate risk on-site.

Who You Are

  • Degree and/or diploma in Construction, Business, or a related field
  • A minimum of 3 years of experience in high-rise construction.
  • Proven expertise in people management, fostering strong teams and driving performance.
  • Exceptional time management skills, able to prioritize and meet tight deadlines with ease.
  • In-depth knowledge of high-rise project architectural and engineering drawings.
  • Foresight to anticipate and resolve potential issues before they escalate.
  • Advanced knowledge of various construction disciplines, safety regulations, scheduling, cost control, quality control, engineering drawings and other documents.
  • Knowledge of Tarion guidelines.
  • Certified in Health and Safety protocols (WHMIS, Working at Heights, Basics to Supervision)
  • Proven ability to take responsibility, engage with stakeholders, and communicate effectively across team
  • Enthusiasm for challenging and new initiatives.
