Role Overview

The role of Assistant to the Director of Implementations with minor responsibilities as Project Coordinator is an entry-level position suitable for someone looking to enter the workforce and grow within a company. As the Assistant to the Director of Implementations, you will perform general administrative and scheduling duties as outlined by your direct report. With minor Project Coordination duties, you will work closely with Project Managers to help manage the Implementation phase of CMiC software. This role involves tasks such as preparing project schedules, maintaining documentation, and facilitating customer communication.

Duties & Responsibilities

  1. Perform general administrative tasks as communicated by the Director of Implementations.
  2. Assist with meeting scheduling, customer communications, escalations management, client relationship management, cross-functional collaboration, and reporting & metrics.
  3. Coordinate project management activities, resources, equipment, and information.
  4. Break projects into manageable actions and set timeframes.
  5. Act as a Project lead for cloud-based customers upon request.
  6. Liaise with clients to identify and define requirements, scope, and objectives.
  7. Assign tasks to internal teams and assist with schedule management.
  8. Create and maintain comprehensive project documentation, plans, and reports.
  9. Use Microsoft Word and Excel to monitor working hours, plans, and expenditures.
  10. Ensure client needs are met as projects evolve.
  11. Analyze risks and opportunities.
  12. Monitor project progress and resolve issues.
  13. Act as a point of contact and communicate project status to all participants.
  14. Ensure standards and requirements are met.
  15. Travel to customer sites up to 25% of the time.

Requirements

  1. Excellent communication and consultative skills; ability to build strong relationships with business users, team members, and service providers.
  2. University Degree or equivalent experience.
  3. Experience with implementing on-premise or cloud-based enterprise software; multi-site solutions is an asset.
  4. Knowledge of software development methodologies, including waterfall and agile, is an asset.
  5. Ability to manage change management processes effectively, communicate project changes, and support those affected.
  6. Proven ability to work with different functional groups to drive business systems and process creation in a growing environment.
  7. Willingness to travel to the US without restrictions.
