About the Team:
At Scotiabank, research is a key driver of our Global Equity platform. We specialize in the Canadian market, and we also supply targeted international research covering the United States and Latin America. Our top-ranked teams generate value-added equity ideas and themed publications. As well, we are constantly looking for ways to bring new products to market and provide clients with valuable research ideas and insights. Our products include daily company-specific investment views, monthly and quarterly sector updates, in-depth fundamental research reports, portfolio analysis and recommendations, and equity strategy commentary.


Position Highlights:

The Assistant Manager, Business Administration, provides administrative support to the Equity Research department within the global banking and markets division of Scotiabank. This role involves coordinating recruitment and onboarding processes, managing staff credit cards and expenses, supporting financial analysis and market data subscriptions, and ensuring compliance with accounting and business policies.

This position is based in Toronto and is suitable for an energetic individual who thrives in a fast-paced environment, has strong attention to detail, and can handle multiple assignments.

What You'll Do:

  • Provide monthly and quarterly expense analysis support to the Associate Director by extracting data from the finance system, refining it for clarity, and preparing it for strategic review and decision-making
  • Manage staff credit cards and employee expenses for Equity Research. Ensure expenses are charged to appropriate cost centers and accounts. Ensure all accounting and business policies and procedures are followed
  • Coordinate recruitment, as assigned. This includes résumé screening, candidate testing, panel interviews
  • Coordinate onboarding & offboarding of full-time Equity Research staff in collaboration with the team. Ensure that all staff are introduced throughout the department and given a tour of the premises. Complete checklists in a timely manner
  • Support the Associate Director in the approval process for market data services and subscriptions, tracking price increases and spending per user, and ensuring requests are in line with budgets
  • Champion a team environment by proactively suggesting and coordinating workplace events
  • Provide administrative support to the Equity Research Management Team
  • Attend & provide support at department meetings
  • Provide a high level of support to Equity Research Analysts & Associates and assist them with queries and administrative support
  • First Aid coordinator for Equity Research Toronto
  • Other operations & administrative duties & projects, as assigned.
  • Back-up to other operations and administrative staff.

What You'll Bring:

  • A minimum of 3+ years in an operations or administrative role
  • Post-secondary education in business or a related field would be an asset
  • Experience in expense processing
  • High attention to detail
  • High level of proficiency in Microsoft Excel, Word & PowerPoint
  • Strong organizational & problem-solving skills
  • Project management skills
  • Must have a good comfort level with technology & video-conferencing equipment & set-up
  • Fluency in Spanish is an asset


Work Arrangement:
This position is currently an onsite role, with the expectation that you will work at least 4 days a week in the office. Please note that this is subject to change based on the needs of the business.
