Located in Toronto, the Art Gallery of Ontario is one of the largest art museums in North America, attracting approximately one million visitors annually. The AGO Collection of more than 120,000 works of art ranges from cutting-edge contemporary art to significant works by Indigenous and Canadian artists and European masterpieces.
We are currently seeking an Assistant Manager, Administration and Production to join our Education & Programming team. Under the direction of the Richard and Elizabeth Currie Chief, Education & Programming, the incumbent will manage Education and Public Programming Division administration and program logistics and production, along withadministrative support to the Richard and Elizabeth Currie, Chief, Education and Programming.They will develop and manage the processes, logistics, metrics and scheduling of all division activities and programs to maximize efficiency and integration.They will offer mentoring and training for other department staff related to production; and contribute to a generative, positive working environment that supports AGO goals of art, audience and learning, and aligns with AGO’s values of respect, openness, collaboration and accountability.
What is this position responsible for?
- Oversees the logistics and production of all divisional programs and activities. Manages the timely and accurate creation, approval and distribution of work orders and SEOs. Establishes long-range and weekly schedules for the Education and ProgrammingDivision including staffing requirements and program activities. Supports the Chief, Education and Programming with adminsinstrative support. Offers mentoring and training for other department staff related to production.
- Manages an integrated divisional calendarization system that captures all divisional activity and programming, including in the Weston Family Learning Centre. Monitors how individual programs relate to one another and identifies potential risks and opportunities for efficiencies. Works with other departments across the Gallery to ensure seamless integration and implementation of divisional activity into existing institutional systems and procedures. Serves as primary divisional liaison to Logistics & Gallery Support Services, Building Operations, Health and Safety, and Visitor Experience departments. And supports staff learning related to this as applicable.
- Collaborates with other Education and Programming Managers to ensure the delivery of services in accordance with department systems and procedures and applicable collective agreements and AGO’s policies and procedures on security, administration, human resources, and department manager/supervisor responsibilities for workplace health and safety.
- In collaboration with the Chief and other Education and Programming Managers, monitors department budgets (preparation and management), reviews expenses, resolves discrepancies in consultation with divisional managers. Identifies and explores rationale and solution(s) to budget variances.
- Tracks and supports the successful completion of key marketing, membership, website and publicity copy deadlines and approvals to ensure timely, accurate and consistent delivery of all materials. Oversees the tracking and reporting of divisional program attendance and statistics. Tracks and manages all copy deadlines and approvals for Board of Trustees, committee and donor reports to ensure timely and accurate delivery of all materials.
- Performs other duties and projects as assigned.
What are we looking for?
- Three-to-five years of experience working in a museum or cultural institution with demonstrated experience related to logistics management and event/program production using and implementing a wide range of tools and administrative systems, services and practices.
- Demonstrated experience directly managing staff and collaborating with multiple stakeholders in a complex, fast-paced, high-pressure environment.
- Collaborative working skills and demonstrated ability to work with leadership team.
- Exceptional interpersonal, organizational, verbal and written communication skills.
- Demonstrated experience managing complex budgets and providing project management support.
- Exceptional Microsoft office, word processing, presentation, electronic calendaring and messaging skills.
- Experience generating statistical and non-statistical reports and briefing documents.
- Directly related experience developing and implementing office practices and procedures.
- Broad knowledge of current museum practice, in particular the role of educationand public programming
- Experience working in a unionized environment is an asset.
