The Legal Assistant plays a pivotal role in the efficiency of the Legal Department by preparing and managing essential documents, generating comprehensive lists and reports to support adherence to best legal and risk management best practices. The Legal Assistant actively participates in legal initiatives in general, providing robust support to the team to enhance business operations. This role involves close collaboration with other team members to facilitate legal processes and ensure overall organizational risk management and corporate governance.

You Are Perfect For This Position If You

  • 3 to 5 years of experience in a similar role;
  • Diploma in legal secretarial studies or equivalent training;
  • Advanced knowledge of Word and Google Docs;
  • Advanced knowledge of Excel and Google Sheets to create dynamic tables and other reporting;
  • High organizational skills and ability to manage several files simultaneously;
  • Thoroughness, attention to detail and autonomy;
  • Innovation and proactivity;
  • Adaptability and efficiency.

Knowledge of English is required for this position due to the fact that the vast majority of business will be conducted in English, in particular with internal and external stakeholders located outside of Quebec.

Concretely, Your Daily Responsibilities Will Be To

  • Provide administrative support to the Legal Team with regards to corporate work for the Corporations’s Group of entities, domestic and international;
  • Assist with the management of all Agreement/Contract requests from all business units including preparation of ancillary legal documents;
  • Develop and maintain a comprehensive spreadsheet or digital tool to track, monitor, and follow up on queries received from various business units. Ensure timely responses and updates are logged systematically;
  • Update all departmental lists and databases and creates new tools to optimize data presentation;
  • Manage all electronic documents in cloud for uploading, organizing, and storing documents and due diligence materials for review and collaboration with all parties in connection with the Corporation Group Asset Purchase and other transactions;
  • Perform administrative tasks for the Legal Department, such as coordinating delivery and collection of signatures via DocuSign from business partners (and internal team members) as well as the delivery of executed agreements and all other legal documents to all parties;
  • Produce monthly expense reports for the Legal Team;
