Summary of Position
Reporting to the Program Manager of the Access 365 program, the Assistant Manager is a critical leadership role responsible for managing clinic operations on evenings and weekends, driving quality improvement and supporting the program manager in planning, projects and optimization of clinic processes.This role provides leadership and operational support to physicians as well as nursing staff to achieve clinic’s operational effectiveness, efficiency and alignment with organizational goals. The Assistant Manager also contributes to team development, performance management and operational optimization, ensuring that clinic workflows, scheduling and patient care are consistently delivered at a high standard.
Key Responsibilities
Key aspects of the position may include, but are not limited to:
Clinic Operations and Optimization
- Supervises evening and weekend clinic operations to ensure smooth patient flow and efficient processes
- Supports Program Manager in scheduling and staffing coordination for nursing team and ensures appropriate coverage to maintain clinic services
- Works with the Program Manager on maintaining Occupational Health and Safety (OHS), infection prevention and control and privacy, ensuring all clinic operations comply with legislative and regulatory standards and best practices
- Supports Program Manager in physician and provider engagement
- Addresses patient feedback and concerns as required
- As required and delegated by the Program Manager, provide on-call support for urgent clinic needs
- Assists with physician scheduling to ensure adequate provider coverage to support clinic demands
- Supports clinic and program workflows to maximize usage of space and resources
- Conducts team meetings as necessary – organizes agendas, keeps minutes and follow up on action items
Leadership and Team Support
- Manager of evening and weekend program operations
- Provides leadership, mentorship, coaching and supervision for all clinic providers and staff
- Contributes to the onboarding of new physicians, nurse practitioners, registered nurses and licensed practical nurses staff, ensuring they understand clinic workflows, policies and best practices
- Supports Program Manager in recruiting, interviewing and hiring of clinical nursing staff
- Contributes to the performance evaluation of the nursing team, provides feedback and supports staff development to ensure continuous improvement
- Collaborates with the Program Manager to address staffing concerns and planning for future clinic needs
- Provides onsite support and training to physicians delivering patient care in relation to EMR, Netcare and billing fee codes
- Responds to physician, nurse practitioner and staff daily questions and concerns, engaging the Program Manager when required
- Assists with practicum student supervision, training and support
Program Development, Evaluation and Quality Improvement
- Contributes to the planning, development and evaluation of program initiatives
- Support knowledge translation by assisting in the interpretation and dissemination of clinic guidelines and best practices to ensure staff are informed and aligned with standard of care
- Supports program manager in ensuring high quality data collection, monitors and reports on clinic performance, identifying key successes and challenges
- Conduct quality assurance audits of EMR and statistical capture for consistency and accuracy of entry and documentation
- Supports continuous Quality Improvement initiatives by identifying opportunities for optimizing clinic operations, executing tests of change and operationalization of new processes
- Applies effective change management principles to ensure that organizational and program policies, procedures, guidelines and objectives are uniformly understood and implemented by physicians, nurse practitioners, and team members
- Uses available data and documentation to make data-driven decisions that improve clinic operations and ensure quality outcomes
Knowledge, Skills & Abilities
- Demonstrated leadership experience in an urgent care or semi-urgent care setting
- Collaborative leader with experience in supporting multiple different disciplines to achieve clinical excellence
- Experience leading Quality Improvement initiatives and reporting on outcomes
- Ability to execute new programs/projects
- Ability to multi-task, prioritize, and think critically in a fast-paced environment
- Ability to work well independently
- Ability to adapt to a changing environment and support others through change
- Knowledge and experience in primary care and the patient medical home
- Ability to lead and participate in quality improvement projects
- Knowledge of Infection Prevention and Control (IPC) guidelines and protocols
Qualifications
- Registered Nurse or Licensed Practical Nurse designation with active CRNA or CLPN membership
- Minimum one year previous supervisory or leadership experience
- Previous experience in change management and quality improvement
- Demonstrated pattern of professional and personal development
- The ideal candidate will have a minimumof three years of experience in a primary care setting
- Combination of experience and education will be considered
Working Conditions
- This position is an evening and weekend position, with two days off midweek
- This role may require the individual to be on-call periodically
- This is an onsite position
