We are seeking a proactive and detail-oriented Bulk Logistics Assistant to join our team. The successful candidate will be responsible for scheduling loads, confirming ETAs, and managing deliveries within the bulk logistics operations. This role requires close coordination with various internal and external stakeholders, including shippers, receivers, transport providers, and other logistics personnel. The Assistant Bulk Logistics Co-Ordinator will play a critical role in ensuring the timely and efficient movement of goods while maintaining strong communication and accuracy throughout the process.
Key Responsibilities :
Scheduling and Coordination :
- Plan, schedule, and track bulk shipments to ensure timely and efficient deliveries.
- Coordinate with transport carriers, warehouses, and shipping companies to schedule and confirm pick-up times and delivery schedules.
- Liaise with both internal departments (sales, warehouse, procurement) and external parties (carriers, freight forwarders) to ensure shipment schedules are aligned with customer expectations.
ETA Management :
- Confirm Estimated Time of Arrival (ETA) for shipments and communicate updates to internal and external stakeholders.
- Monitor and track shipments during transit, providing proactive updates regarding any delays or changes to the delivery schedule.
- Resolve any potential delays, ensuring minimal impact on customer satisfaction.
Shipment Coordination :
- Act as the main point of contact for coordinating shipments, ensuring accurate and timely delivery of goods to the designated receiver.
- Collaborate with origin and receiver locations to confirm shipment details, documentation, and delivery readiness.
- Ensure that all documentation related to the shipments (e.g., shipping orders, invoices, delivery confirmations) is accurate and completed in a timely manner.
Problem Resolution :
- Troubleshoot and resolve any shipment issues, such as delays, discrepancies, or customs-related problems, and provide clear communication to all parties involved.
- Ensure all stakeholders are informed of any unexpected challenges and collaborate with relevant teams to implement corrective actions.
Stakeholder Communication :
- Maintain clear and consistent communication with all stakeholders, including customers, suppliers, transporters, and internal departments.
- Provide regular status reports to management on the progress of shipments and any issues encountered.
- Ensure that all internal systems are updated with the most accurate and up-to-date shipment information.
Compliance and Documentation :
- Ensure that all shipments comply with regulatory and safety standards, including proper documentation and certification.
- Verify that all necessary permits, customs forms, and other documentation are accurately completed and submitted on time.
Data Entry and Reporting :
- Maintain accurate records of shipments, schedules, and delivery times in internal logistics systems.
- Assist in generating regular reports for management on shipping performance, including on-time delivery rates, delays, and exceptions.
Skills and Qualifications :
- Experience : 1-2 years in logistics, supply chain management, or transportation coordination (experience in bulk logistics is a plus).
- Technical Skills : Proficiency in logistics software (e.g., TMS, ERP systems) and Microsoft Office Suite (Excel, Word, Outlook).
- Communication Skills : Strong verbal and written communication skills, with the ability to effectively coordinate with both internal and external teams.
- Problem-Solving : Ability to quickly identify issues and implement solutions to ensure timely delivery.
- Attention to Detail : Strong attention to detail, ensuring all shipment and scheduling information is accurate and up-to-date.
- Organization : Strong organizational skills with the ability to manage multiple shipments and priorities simultaneously.
- Teamwork : Ability to work collaboratively within a team and communicate effectively across departments.
Preferred Qualifications :
- Experience in bulk transportation or logistics management.
- Knowledge of regulatory compliance in logistics, including hazardous materials or bulk commodities.
- Understanding of freight contracts and shipping terms (Incoterms).
