Assistant BuildingManager | Job Description
Primary Purpose
The Assistant Building Manager plays a key role in supportingthe Building Manager with the day-to-day operations, maintenance, andresident relations of the property. This includes deliveringhospitable and professional concierge services, coordinatingcontractors, responding to tenant requests in a timely manner, andensuring the safety and wellbeing of residents. The Assistant BuildingManager is also responsible for maintaining the building to a highstandard and plays an active role in leasing vacant suites to helpmaintain high occupancy while fostering a welcoming and professionalenvironment for current and prospective residents.
Specific Responsibilities
The Assistant Building Managerwill at various time be responsible for the following as well as otherrelated duties as assigned to support the business objectives andpurpose of the Company:
- Greetresidents with courtesy and respond to tenant requests in a timelymanner
- Assist with package retrieval and delivery fromcouriers
- Coordinates move-ins and move-outs with theBuilding Manager
- Coordinates trade access with the Building Manager
Rental Management
- Advertise, setappointments, provide tours, and complete interviews to achieve 100%occupancy
- Manage the rental process for all tenantsincluding all required paperwork for the rental of suites, permissionof pets (if allowed), rental of parking and/or storage lockers
- Complete move-in and move-out condition reports
- Accurate collection of rent (by cheque only, all cash transactions tobe at Head Office only)
- Deliver cheques to head office daily(cheques may not be held and uncashed for over 2 days)
- Deliver late rent notices, eviction notices, and any other noticerequired by Head Office
- Prepare, draft, and post notices,compile evidence for arbitration and attend arbitration if necessary
- Complete and maintain tenant files; contractor files;general files including working with parking management company (ifrequired) to maintain parking stall list
- Program andmaintain all access keys/fobs to building(s)
Additional Responsibilities:
- Manage and coordinatecommunity events for building(s) as assigned by the residential team
- Provide relief coverage for the team – statutory holidaycoverage or general vacation coverage.
BuildingManagement
- Collect receivables in a timely mannerand work with property manager to collect outstanding balances, issuerequired forms, prepare for dispute resolution proceedings, and takenecessary legal actions.
- Manage occupancy, show suites andimplement tenant retention strategies to optimize occupancy andrevenue for the property
- Assist with preparation, review,and distribution of monthly financial reports
- Review, code,and track invoices in a timely manner to relevant contractors andproperties, and request adjustments to invoices as may be required
- Prepare welcome packages, tenant correspondence, notices andother documentation as may be required
- Actively monitordeficiencies in suites, common areas, mechanical and safety systemsare maintained, energy-efficient, and environmentally sustainable.
- Conduct regular property inspections including rental unitsat move-in, move-outs, and coordinate other maintenance required asappropriate.
- Maintain, ensure compliance, coordinate, andexecute initiatives related to insurance/risk management, incidents,claims, legal files, and environmental/energy conservation programs.
- Coordinate with property manager and maintain community inaccordance with annual approved budget for approved capitalimprovement and repair projects, communicate with stakeholders, andensure projects are completed on budget.
OtherResponsibilities
- Act as Warrington PCI Management’srepresentative in meetings, community events, and tours of thebuilding
- Create and maintain an inventory list
- Maintain good relationships with contractors and tenants and respondprofessionally and efficiently to their requests
- Liaisewith Property Manager and Property Administrator as required
- Any other duties as required from time to time
- Ensure compliance on WorkSafeBC including trades
