Job description

We are looking for an organized, detail-oriented, and proactive Assistant Account Manager to join our team. The Assistant Account Manager will manage the day-to-day administrative tasks associated with parking operations. This includes overseeing parking permits, processing requests, coordinating with vendors and other departments, and maintaining accurate records to ensure the efficient running of parking facilities. This position is ideal for someone with strong administrative skills and the ability to juggle multiple tasks in a fast-paced environment.

Key Responsibilities

  • Parking Permits Management : Process parking permit applications, maintain records of issued permits, and ensure that permits are distributed to the appropriate individuals (staff, residents, visitors).
  • Record Keeping & Reporting : Maintain detailed records of parking lot usage, permits, violations, incidents, and other relevant data. Generate periodic reports as needed for management or stakeholders.
  • Customer Service & Support : Respond to customer inquiries related to parking, such as permit requests, availability, and parking regulations. Provide timely and professional support via phone, email, or in-person interactions.
  • Scheduling & Coordination : Coordinate parking schedules for employees, guests, and special events. Assist in the planning and implementation of parking logistics for high-demand times or events.
  • Vendor & Service Coordination : Liaise with third-party vendors for parking equipment maintenance, repairs, or other services. Ensure that service contracts are up to date and that vendors meet performance expectations.
  • Parking Violations Management : Monitor and track parking violations, issue fines as necessary, and communicate violations to the appropriate parties. Work with relevant departments to ensure compliance.
  • Data Entry & Systems Management : Enter data into parking management software or databases. Ensure that all information is accurate and up-to-date.
  • Policy & Procedure Adherence : Ensure that all parking operations are in compliance with company policies, procedures, and local regulations. Assist in the development or revision of parking policies when necessary.
  • Financial Administration : Assist with the processing of invoices, payments, and financial records related to parking operations. Work with the finance department to ensure accurate billing and budget tracking.
  • Communication & Documentation : Maintain clear and professional communication with internal teams, residents, and visitors about parking policies, upcoming changes, or events.

Skills, Knowledge and Expertise

  • Strong administrative, organizational, and multitasking skills.
  • Excellent written and verbal communication skills.
  • Valid driver's license and clean driving record.
  • Experience with Canva
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with parking management software or database systems.
  • Ability to handle sensitive information with discretion and confidentiality.
  • Strong attention to detail and accuracy in data entry and record keeping.
  • Problem-solving and conflict-resolution skills, especially in customer service situations
  • An associate degree or certification in administration, business, or a related field is a plus.
  • Previous administrative experience required, preferably in parking management, customer service, or facility coordination. Experience in a fast-paced office environment is beneficial.
