The Asset Management Project & Process Specialist (“AMPPS”) leads and coordinates the development and implementation of Engineering & Asset Management process improvement projects, with the objective of building an effective and robust asset management system. The AMPPS coordinates and administers project activities and progress reports. This role involves acting as project coordinator for procurements, preparing requests for proposals, and participating in the selection of external consultants for infrastructure condition assessments. The position also plays a key role in asset management records management, ensuring data processes and project deliverables are accurate, complete, and compliant with VFPA standards. Additionally, the AMPPS coordinates asset management inspection projects and maintains high-quality AM data, ensuring records meet standards. Other duties include providing backup support to the building permit coordination process.

What you do:

  • Lead and coordinate process improvement projects to develop an effective asset management system, identifying and implementing improvements.
  • Develop, document, and update project processes, templates, tools, and training materials.
  • Evaluate information exchange processes and improvement needs, defining clear objectives and goals.
  • Implement project management methodologies and templates for new processes.
  • Establish relationships with project leads and consultants to support project deliverables and change management.
  • Coordinate with PER team members and internal staff to ensure compliance with project processes.
  • Coordinate procurement of external consultants for infrastructure condition assessments, including marine structures and civil infrastructure.
  • Prepare and review RFPs, participate in consultant selection, and prepare cost estimates and contract approvals.
  • Manage project activities, progress, and reporting.
  • Review inspection reports, recommend follow-up actions, and work with the asset management team to record appropriate data and schedule follow-ups.
  • Coordinate project close-out data and input relevant data into the asset management system.
  • Collaborate with internal departments and external consultants and terminal operators.
  • Monitor project status reports and ensure data accuracy and compliance with standards.
  • Provide occasional guidance to Engineering Technicians and review site service plans and utility data updates.

What you bring:

  • A related two (2) year full-time technical diploma or equivalent from a recognized post-secondary institution.
  • At least four (4) years of recent engineering experience in asset and records management, process improvement, or project coordination.
  • Experience as a team lead in asset management or engineering is an asset.
  • Asset Management certification from an accredited institution is an asset.
  • Self-motivated with excellent interpersonal skills and the ability to liaise effectively with staff and external contacts.
  • Ability to work independently, accurately, and proactively.
  • A team player with a customer service focus, good organizational skills, and flexibility to handle multiple tasks.
