Artist Coordinator - Festivals & Events

We produce over 1000 events annually across 9 owned and operated venues and have produced concerts hosted in clubs and arenas domestically, as well as Europe and Asia-Pacific. Who you are: Reporting to the Producer/Production Manager, the Artist Coordinator will be responsible for supporting the booking, contracting, and administration of community talent across MRG’s festival and event portfolio. You are highly organized, detail-oriented, and able to manage multiple projects at once. With a strong connection to local music, dance, and community-based performers, you thrive in a fast-paced, collaborative environment and enjoy being part of the process that brings live performances to life.

Responsibilities
  • Maintain and update annual talent tracking and payment grids.
  • Formulate community talent grids for approval.
  • Send community-based performance offers and performance contracts, including roving and family entertainment.
  • Manage Asana workflows to track offers, contracts, invoices, Socan reporting, and other due dates.
  • Distribute and track performer forms (Wufoo/Asana, advances, schedules, etc.).
  • Create and manage talent invoices, performance schedules, contact sheets, and cheque sign-out sheets.
  • Collaborate with Finance to process cheques and organize onsite payment distribution.
  • Manage and update community talent and live band databases; monitor submissions and intake forms.
  • Send artist advances for community performers and b-stages.
  • Support live concert contracts and administration as required.
  • Provide artist coordination support on-site as needed.
  • Assist with additional programming and administrative tasks as assigned.
Qualifications
  • Strong attention to detail and organizational skills.
  • Ability to work effectively with remote teams using Slack, Asana, and other tools.
  • Comfort working in a fast-paced environment with overlapping deadlines.

  • Interest, awareness, and/or connections within the local music and dance community (an asset).
  • Stage production knowledge is considered an asset.
  • Proficiency in Google Suite and/or Microsoft Office (especially Excel/Sheets).
