Job description

Job Overview

The Total Rewards Analyst - Benefits and Pension is responsible for supporting the Sr. Manager of Total Rewards with benefits and pension analysis, insights, administration, and process improvement initiatives. The role also provides backup and support for other Total Rewards processes such as Compensation and Wellness.

This position will help administer and/or implement employee benefit and pension programs aligned with company goals and our total rewards philosophy. The Total Rewards Analyst will collaborate closely with internal and external clients to provide day-to-day administration of benefits and pension programs in both Canadian and US environments, including union and non-union settings.

Essential Duties and Responsibilities

  • Oversee the administration of employee benefits and pension programs across Canada and the US, including managing invoices, processing vendor payments, responding to employee inquiries, and ensuring timely follow-up.
  • Manage the day-to-day administration of the Defined Benefit (DB) pension plan, including enrollments, terminations, and pension payment processing.
  • Administer the daily operations of the 401(k) plan, ensuring compliance and timely processing of employee transactions.
  • Coordinate and administer leave programs in Canada (STD, LTD) and the US (STD, LTD, FMLA), ensuring accurate tracking and communication with employees and vendors.
  • Support new hire onboarding by providing benefits and pension program information, assisting with enrollment, and addressing related questions.
  • Develop and maintain up-to-date benefits and pension communication materials across all platforms, including content on the company SharePoint site, printed materials, digital bulletin boards, and specific communications for open enrollment and new program rollouts.
  • Arrange annual benefits enrollment processes in Canada and the US. Support wellness initiatives and events, including travel to office and plant sites as needed.
  • Create and maintain compliance reports and validations to support internal audit requirements.
  • Partner with the HRIS Manager and Payroll team to implement benefits-related system enhancements, resolve issues, and improve system functionality.
  • Maintain accurate employee benefits and pension contributions and deductions records.
  • Participate in benefits surveys and conduct data analysis to support program recommendations and changes.
  • Develop and maintain Standard Operating Procedures (SOPs) with a focus on continuous process improvement.
  • Serve as the primary backup to the Total Rewards Analyst - Compensation, supporting processes such as salary reviews, incentive payments, and compensation surveys.

Qualifications

  • Bachelor's Degree with experience in Human Resources preferred or experience in a related business field.
  • 2-3 years of experience in benefits and pension administration.
  • 2-3 years of experience with various HRIS and web-based systems; experience with UKG (UltiPro) is considered an asset.
  • Strong analytical and problem-solving skills, attention to detail, with the ability to simplify complex concepts for communication and make data-driven recommendations.
  • Proficiency in Microsoft Office, especially Excel (advanced skills).
  • Ability to handle confidential and sensitive information with maturity.
  • Basic accounting skills are an asset but not required.
  • Knowledge or experience with US-based benefits is an asset.
