The opportunity:

Reporting to the Senior Manager, Operations, the Analyst, Discretionary Reconciliation & Systems plays a vital role in supporting Wellington Altus advisors by reconciling custodian data across various business applications. This role focuses on enhancing organizational efficiency and resolving exceptions through proactive analysis and remedial actions. The Analyst collaborates closely with internal teams (Operations, Data Engineering, Products & Platforms), custodians, and external partners to address operational challenges and optimize system performance.

Key responsibilities include:

  • Conducting thorough data analysis to reconcile information from multiple applications, ensuring accuracy and consistency across custodian records and Envestnet.
  • Updating accounts on an ongoing basis (client name changes, rep code changes, and address changes etc.).
  • Performing daily tasks such as sorting and assigning of new accounts.
  • Inputting non-financial data to support temporary or permanent manual processes.
  • Maintaining the unclassified securities tracker.
  • Researching securities and updating security exceptions extract to reconcile information.
  • Identifying gaps in procedural workflows and maintaining issue logs to mitigate risks and impacts, supporting continuous improvement initiatives.
  • Proposing and implementing recommendations to automate manual processes, enhancing operational efficiency and reducing errors.
  • Developing training materials and assisting in training sessions for advisor teams on new applications and enhancements, ensuring smooth adoption and usage.
  • Handling service requests from advisors, providing a white-glove service (generating reports such as Quarterly Performance Reports, Client Proposals, etc). Including triaging requests and channeling to the appropriate team.
  • Reviewing, updating, and maintaining policies and procedures, ensuring alignment with regulatory requirements and operational standards.
  • Assisting in gathering requirements for system fixes and enhancements and participating in User Acceptance Testing (UAT) to validate new releases.
  • Performing other duties as assigned.


The ideal candidate will possess:

  • A bachelor’s degree in Finance, Business, Information Technology, or similar field of study.
  • A minimum of 1-3 years experience working in the financial industry in a similar role with a transferable skill set.
  • Experience working with a discretionary Portfolio Manager considered an asset. Previous operations experience is an asset.
  • Proficiency in Microsoft Office Suite, particularly Excel, for data manipulation and reporting.
  • Basic understanding of financial markets and investment products.
  • Demonstrate strong analytical skills with an ability to conduct data analysis and generate meaningful insights.
  • Effective communication skills with an ability to articulate technical concepts to non-technical stakeholders.
  • A detail-oriented approach with a focus on accuracy and quality in all tasks.
  • An ability to work collaboratively in a team environment and independently manage assigned tasks.
