Job summary

Vancouver Coastal Health (VCH) is seeking an Analyst/Administrative Assistant to join the Facility Functional Planning team. This role provides analytical support and confidential administrative assistance to senior leadership, while coordinating calendars and meetings across departments.

Ideal candidates will have a Diploma in a related program and 3–4 years' experience in a complex health care setting, with advanced skills in Excel, Access, PowerPoint, Word and Visio.

Qualifications

  • Diploma in a related program with 3–4 years of recent, relevant healthcare experience.
  • Advanced computer skills in spreadsheet, database, graphics and word processing programs (Excel, Access, PowerPoint, Word, Visio) required.

Responsibilities

  • Provide analytical support to the Program team for data analysis, statistical reporting, benchmarking, queries, and generating reports and documents.
  • Provide confidential administrative and secretarial support to the Director and IWMS team.
  • Maintain calendars, coordinate meetings, screen and prioritize requests including confidential information.
  • Work independently and liaise with Executive Directors, Managers and staff at all levels.
  • Coordinate information flow with other departments and external agencies; keep the Director informed of relevant issues.

As an Analyst/Administrative Assistant with Vancouver Coastal Health you will
  • Provide analytical support to the Program team for purposes such as data analysis, statistical reporting, benchmarking activities, developing and generating queries, preparing and compiling reports and technical documents utilizing various software and tools.
  • Provide confidential administrative and secretarial assistance and research support to the Director and to the IWMS team.
  • Maintain the Manager and management team’s appointment calendars, coordinate meetings, process and prioritize information, screen, triage and act upon requests and inquiries, including confidential and sensitive information.
  • Work independently and interface with other Executive Directors, Managers and staff at all levels of the organization.
  • Effectively partner with other VCH departments and liaises on behalf of the department with external agencies to coordinate the flow of information, keeping the Director apprised of relevant issues and activities.

Education & Experience
  • Diploma in a related program plus three to four (3-4) years' recent, related experience in a complex health care environment with progressively more responsible secretarial and administrative positions supporting senior level management, experience in information analysis and benchmarking, or an equivalent combination of education, training and experience.
  • Advanced computer skills in spreadsheet, database, graphics and word processing programs is required, e.g. Microsoft Excel, Access, PowerPoint, Word, and Visio.
Knowledge & Abilities
  • Employs expertise in the use of computer software and applications to create a variety of analytical reports, documents, and presentations, and to maintain databases.
  • Applies acquired skills and knowledge to efficiently and independently resolve administrative issues/ problems.
  • Effectively utilizes both verbal and written communication skills when providing advice or information or seeking/acquiring information.
  • Develops and maintains strong relationships with key internal and external partners to promote and enhance services provided with sensitivity to diversity and indigenous lens.
  • Practices the recognition, inclusion and support of all types and aspects of diversity at all stages of engagement, with an understanding of the issues faced by people from equity-deserving groups.
  • Optimizes departmental effectiveness and contributes to organizational success by applying excellent time management skills to prioritize and complete assignments and schedule activities.
  • Practices diligence and care when maintaining, monitoring, calculating and summarizing data, records and budget information.
  • Physical ability to perform the duties of the position.

As per Ministry of Health policy, all health care workers working in publicly-funded health care facilities are required to report their past receipt of certain vaccines or history of certain infections. Collecting these records will allow for offering of any missing vaccines, and for appropriate actions to be taken in the event of any future exposure to a communicable disease or during outbreaks.
