Georgian College’s Advancement and Alumni Relations department creates and maintains strong relationships with a variety of constituents to inspire support and engagement. The department is organized into four integrated units : Engagement; Philanthropy; Partnerships and Community Engagement; and Donor Relations and Operations.

Position Overview :

We are seeking a dedicated, service-minded Alumni Experience Associate to support our vibrant community of over 115,000 graduates by providing personalized engagement and timely, thoughtful assistance, ensuring every alumnus and Alumni Association partner feels valued and remains meaningfully connected to Georgian. In this role, you will deliver an outstanding alumni experience by honoring each graduate’s unique journey and fostering lasting relationships through initiatives such as volunteerism, mentorship, philanthropy, and meticulous data management. Employment Type : Full-Time Support Staff

Salary Range : $28.78 (start rate) -$33.37 (4-year rate) per hour

Key Responsibilities :

Grizzlies Give Back program - alumni mentorship, volunteerism and philanthropic support :

  • Assists in the alumni mentorship program delivery, including digital and in-person events and meetings for both mentors and mentees to ensure a meaningful experience for graduates who volunteer and students who benefit
  • Execute the day-to-day tasks of the mentorship program, including participant recruitment, training, data entry, event coordination, digital mentorship platform user technical support
  • Ensure alumni database records appropriately reflect all College alumni volunteerism, event participation and overall engagement across the institution, seeking out the information when necessary. Work with academic units and cross-College departments to support, encourage and organize alumni volunteer engagement in a range of activities, including campus events, orientation, classroom speaking, program advisory committees, student initiatives, community events, etc. and track that activity in the alumni database.
  • Support alumni-specific fundraising-related efforts to grow the number of alumni supporters.

Discount and affinity partnerships :

  • Assist with a partnership model where business partners feel valued, alumni gain meaningful benefits from the collaboration, and the program strategically drives revenue growth.
  • Ensure perks and discount partners and associated benefits are tracked and promoted
  • Identify and help to develop new revenue generating partnerships.
  • Facilitate the review of perks partner program applications through to the approval process.
  • Coordinate alumni partner mailings and key communications.

Georgian Alumni Network (“GAN”) administration :

  • Monitor the GAN digital platform including the alumni directory, groups, messaging, and pages to ensure all facets are working as intended, utilized and are best serving the needs of alumni.
  • Review requests to join the network, qualifying against access criteria and approve / deny access as appropriate.
  • Oversee and populate information into the business or job posting directory, including the perks / affinity pages as well as alumni-owned businesses pages, as needed.

Alumni support and data entry

  • Serve as the frontline contact receiving phone calls, emails, social media messages, and visits from alumni and other advancement partners and coordinate any necessary referrals or follow-up actions within the department.
  • Ensure all contact and action with alumni is logged into the Raiser’s Edge NXT database including ensuring constituent information is updated on a timely basis.
  • Maintain and manipulate information in Raiser’s Edge NXT as it pertains to alumni engagement strategies. Specifically, the incumbent will be required to input, modify, and extract alumni data, generate reports, design online forms, and identify and implement changes to improve operational efficiency.
  • Support individual alumni with their requests including reunion planning, tours, and graduate outreach for transcript requests, continuing education inquiries, and general College staff / faculty or departmental wayfinding.

Other

  • Assist with building a database of top alumni achievements to support alumni-specific awards programs and recognition efforts.
  • Support mass alumni events by attending and helping with logistics and relationship management initiatives including communications assistance
  • Administrative tasks that help Georgian foster lifelong relationships between alumni and the College

Qualifications :

  • Successfully completed a two-year postsecondary diploma in a relevant field of study that may include, but is not limited to business, communications, marketing, fundraising / philanthropy, events, or another related field.
  • A minimum of two years of experience working in fundraising, alumni relations, membership and / or in a nonprofit capacity
  • Completion of a post-graduate one-year program in fundraising, digital or direct marketing, events, project management or other advancement-related education considered an asset
  • Advanced database / CRM experience, experience working with Raiser’s Edge / NXT is preferred.
  • Experience with Outlook, PowerPoint, Word, InDesign, Canva, Constant Contact, and / or Teamwork considered an asset
  • High-level communication skills are paramount including writing, editing, and preparing presentations for meetings and events
  • Basic graphic design skills are an asset
  • Project management experience is an asset including drafting event logistical plans and briefing notes
  • Attention to detail, proven teamwork, and strong interpersonal skills are required
  • Flexible and able to adapt to rapidly changing priorities and opportunities
  • Reliable transportation to attend advancement and alumni events and activities on and off campuses is required
