We’re looking for a Senior Administrative Assistant to support the VP of Enterprise Risk & Assurance and the VP of Tax. Both teams are cross-border, with members based in Calgary and Washington, D.C. This role is perfect for someone who’s always one step ahead—organized, resourceful, and ready to handle anything. You’ll manage executive schedules, financial processes, audit coordination, and team operations with precision and professionalism. If you thrive on efficiency, love solving problems, and can juggle competing priorities with ease, we’d love to meet you.
What You'll Do:
Manage the VP’s calendar, travel, expenses, and correspondence
Liaise with executives, board members, and their assistants
Handle confidential communications, documents, and meeting minutes
Send formal audit communications on behalf of the VP ER&A and Audit Leadership
Coordinate internal and external stakeholder meetings
Oversee onboarding/offboarding of team members and consultants
Track team milestones, events, and performance metrics
Provide occasional admin support to other Finance teams
Generate purchase requisitions and purchase orders
Review invoices for coding accuracy and route for approval
Support budget reporting and invoice reconciliation
Liaise across departments to support C-SOX compliance and reporting timelines
Assist with internal control documentation and data collection
Coordinate with internal controls vendors and external auditors
Support internal controls updates and presentations
Plan and execute team offsites, training, and strategic sessions
Manage venue selection, budgeting, contracts, logistics, travel, accommodations, and tech needs
Prepare agendas and itineraries
What You'll Bring:
5+ years of experience supporting senior leaders in a fast-paced, professional environment
Advanced Microsoft 365 skills (Outlook, Word, Excel, PowerPoint, SharePoint, Teams)
Proven ability to work independently and collaboratively across teams
Exceptionally proactive, detail-oriented, and highly organized
Strong business acumen, problem-solving skills, and sound judgment
Excellent verbal and written communication, formatting, and proofing skills
High level of professionalism, discretion, and customer service mindset
Experience with enterprise systems such as SAP or Oracle is preferred
Strong knowledge of accounting, auditing, and internal controls; familiarity with C-SOX/SOX is an asset
