AltaGas - Sr. Administrative Assistant

Join AltaGas as a Sr Administrative Assistant, where you'll support two dynamic finance leaders. In this pivotal role, you'll manage schedules, coordinate travel, administer meetings, and provide comprehensive administrative support. Your exceptional organizational skills, attention to detail, and ability to juggle multiple priorities will be key to ensuring smooth operations. You Will:

  • Provide administrative support to enable the continuous efficiency and effectiveness of the leaders and their teams.
  • Demonstrate a high degree of discretion and independent judgement, proactively manage day-to-day operations and executive schedules; serve as a liaison to other departments and external clients as needed.
  • Manage day-to-day calendars, including planning meetings and events.
  • Ensure meeting materials and briefings are assembled before key internal and external engagements including agendas and minutes.
  • Coordinate travel arrangements and trip itineraries.
  • Support for team milestones, events, and employee recognition.
  • Prepare information for internal and external communication – including memos, emails, presentations, and reports.
  • Responsible to provide support for presentations and other materials for the Board of Directors.
  • Support the execution of departmental special projects and initiatives.
  • Other duties as required including budget administration, expense management, purchase order requisitioning, and invoice processing.

You Have:

  • 5-10 year's experience supporting senior leader(s) in a professional organization.
  • Excellent organizational and time management skills with the ability to confidentially process and prioritize requirements with ease.
  • Demonstrated ability to handle confidential matters in a professional manner using appropriate discretion, judgment, and diplomacy.
  • Excellent verbal and written communications skills.
  • Intermediate to advanced proficiency in Microsoft 365 including Outlook, Word, Excel, PowerPoint, SharePoint, and Teams.
  • Demonstrated ability to establish rapport and effective working relationships with employees across all levels of the organization, peers, and outside contacts.
