We are currently looking for an Affiliates Payable Specialist at our Corporate Offices in Ajax, ON

The Affiliates Payable Specialist will be responsible for the overall accurate processing of all intercompany transactions expected between ADMT LLC, ADMT GmbH, VWAG, VWGoA and VGCA amongst other affiliated companies. The affiliate specialist will work closely with the affiliate analyst role as well as the GL accountant in order to ensure all entries are posted based on proper documentation, timely and efficiently. This position will also ensure that appropriate internal controls are implemented and adhered to as per company policies to ensure the accuracy and completeness of all entries.

Reporting to the Accounts Receivable Manager, this role will work closely with Controlling and the Affiliate team in order to align with departmental objectives and assist with streamlining local processes.

This is a hybrid flex model, based out of Ajax, ON

Primary Responsibilities:

  • Process all Affiliate Payable invoices in a timely and accurate manner and in accordance with internal controls
  • Auditing of Affiliate Payable invoices and associated back up, ensuring all internal controls are being followed
  • Process invoice rejections back to the submitter
  • Prepare affiliate invoices for image scanning and/or SAP FICO document attachment
  • Support in central email inbox monitoring; ensure all emails are organized as per the defined process
  • Reply to all emails in a timely and professional manner
  • Assist in Affiliate process and internal control improvements
  • Assist in reconciliation review and work with Affiliate Analysts to resolve posting issues
  • Assisting with Affiliate Parts reconciliations and parts investigation where necessary
  • Support with other AR tasks as needed for back up support or during periods of high volumes
  • Quarterly and Yearly internal and external audit support and/or requests, including reporting requests for the Tax Department

Qualifications:

  • Diploma/degree in Finance or related field and/or relevant work experience
  • 1+ years of Accounts Payable experience is required due to intricacies of Affiliate transactions
  • Excellent attention to detail and accuracy
  • Ability to manage high volumes and prioritize workload appropriately
  • Ability to self-prioritize
  • Effective verbal and written communication
  • An eye for process improvements
  • Operate with a collaborative, team-oriented approach
  • Bachelor’s Degree in Finance is an asset
  • Working knowledge of SAP is a strong asset
