  • Ensures that constituent related concerns, problems, and inquiries are resolved either personally or to appropriate City staff. Assists the Councillor and Councillor’s staff in handling inquiries, concerns, and complaints from constituents and the public.
  • Liaises with City staff and other Council offices on issues of concern to constituents and issues affecting the Councillor.
  • Reviews, analyses and makes recommendations to Councillor on content and appropriateness of reports by City staff. Reviews and analyses agendas for Council, Committees, Task Forces, Agencies, Boards and Commissions, identifying items that will affect the Councillor and their constituents. Recommends and initiates necessary action to respond to these matters.
  • Monitors and maintains records on Committee recommendations and Council decisions regarding matters of interest to the Councillor and their constituents. Pays special attention to those matters of importance to the Councillor and problematic issues.
  • Undertakes research and analysis for the Councillor with respect to policy matters and departmental initiatives. Reviews and analyses agendas for Council, Committees, Task Forces, Agencies, Boards and Commissions. Researches, initiates, assists with formulation and discusses feasible policy options with appropriate City staff for recommendations to appropriate Council, Committees, Task Forces, Boards and Agencies.
  • Prepares motions on behalf of the Councillor for Council, Committees, Agencies, Boards and Commissions, as it pertains to issues of interest to the Councillor and their constituents.
  • Prepares and coordinates general presentation material and speeches for the Councillor when delegated and as directed by the Councillor or Chief of Staff
  • Assists in organizing and publicizing community meetings. May attend public meetings on behalf of the Councillor to record concerns and inquiries in order to report back to the Councillor.
  • Assists Councillor or represents Councillor at public hearing and appeals (e.g. Committee of Adjustment, etc.) acting on behalf of constituents
  • Ensures records are maintained and follows up on requests and inquiries made by the Councillor to City staff.
  • Maintains awareness of ward, community and city-wide municipal matters, and other matters affecting the municipality, the Councillor and their constituents.
  • Maintains confidentiality with respect to issues involving the City and the Councillor, and adheres to the City’s Conflict of Interest Policy.
  • Ability to handle and prioritize numerous complex tasks simultaneously, while under pressure with tight deadlines.
  • Undertakes special assignments as requested by the Councillor.

Qualifications:

  • College diploma or University degree in a related field, or equivalent experience, with 2-3 years' experience in similar role (knowledge of Transportation Planning is considered an asset)
  • Strong MS office (Excel, Word, PowerPoint, Outlook,) Microsoft Teams and Google calendar skills
  • Highly developed verbal and written communications skills with the ability to present complex information to a variety of audiences
  • Excellent problem-solving skills and initiative to proactively identify and resolve problems and issues
  • Highly developed ability to navigate work in a fast-paced environment with changing priorities
  • Excellent organizational skills through proven ability to organize workload, determine priorities and accept personal responsibility for the completion of tasks
  • Confidence to make independent decisions, within defined guidelines, with a willingness to take direction
  • Willingness to be part of a team, assisting other team members to ensure an effective and efficient operation
  • Available to work evenings and occasional weekends as required
  • Knowledge of development and construction processes is considered an asset
  • Knowledge of City of Toronto divisions, services and constituency reporting processes is considered an asset
  • A valid G driver's license is considered an asset

The position is a fixed-term, full-time contract starting July 2nd 2025 until November 1st 2026 (the end of the Council term).This position will be based out of City Hall. This position follows a hybrid schedule working in-office three days a week and remotely for the rest.

Hours & Compensation: 35 hours per week, not including occasional evenings and weekends. Salary information available upon request. This position includes vacation, full health and dental benefits.
