Position Overview
The Advisor Onboarding Coordinator is a high energy and adaptable role responsible for the planning and execution of onboarding new high net worth Investment Advisor Teams on a national scope.

As part of the Advisor Experience department, the incumbent will work closely to support the Branch Management teams and other internal operational departments to ensure readiness, smooth arrival, and transitions for all new advisor teams.

Duties and Responsibilities

  1. Organize pre-hire due diligence and regulatory licensing documentation of the new Investment Advisor and Team Members for transfer process.
  2. Coordinate the licensing documentation between the new team and the Registrations department to ensure activation upon hire.
  3. Liaise with Branch Administrators to coordinate technology and on-site requirements for all new recruits and their team members.
  4. Provide on-site support at all new team transitions to assist with client communications, documentation preparation, and training.
  5. Liaise with the IT group to ensure hardware and software set-up prior to team’s arrival; manage technology issues that may arise during transition.
  6. Collaborate with the Operations department to ensure processes and team and client inquiries are addressed quickly.
  7. Assist Advisor teams with account opening on Dataphile and preparing new client packages for client delivery, in an accurate and timely manner.
  8. Train Advisor teams with internal and external platforms for client account opening and transfer process.
  9. Provide teams with introductory technology overview of email, telephone, VPN, computer login, and Jabber (Cisco messaging platform).
  10. Work closely with Branch Management post-onboarding to monitor team progress and provide support as required.
  11. Maintain Branch Management onboarding intranet site with process and documentation/tools/resources.
  12. Maintain onboarding shared drive with recruit files and documentation.
  13. Coordinate and order supplies for upcoming recruits.
  14. Other duties as assigned.

Qualifications

  1. Proven experience working with an Investment Advisor or a Branch Management team.
  2. Exceptional organizational skills, experience with project and/or event coordination.
  3. Technical knowledge and familiarity with standard hardware and software for basic support as needed.
  4. Ability to take initiative, prioritize, multitask, and meet tight deadlines.
  5. Quick and proactive thinker with innovative problem-solving skills.
  6. Positive attitude and white glove service approach with the ability to work with various personality types.
  7. Excellent communication skills, verbal and written in English, proficiency in French would be an asset.
  8. 1 to 3 years of direct retail brokerage/wealth management experience.
  9. 1 to 3 years of experience with employee onboarding and/or training experience.
  10. Knowledge of Wealth Management Operations.
  11. Proficiency with Microsoft Office Suite.
  12. Knowledge of Dataphile and Maximizer systems would be an asset.
  13. Flexibility to travel nationally.

Education

  1. Post-Secondary Education.
  2. Canadian Securities Course (CSC) and Conduct & Practices Handbook Course (CPH) would be an asset.
