Job Title: Advisor, Governance & Compliance

Job Classification: Exempt
Department: Administration

Status:Regular, Full Time (37.5 hours weekly)
Schedule: Monday - Friday (evenings and weekends as required) Start Date: July 14, 2025 Date Posted: May 30, 2025 Closing Date: Open until filled Salary: This position starts at $70,000 per year and increases to $96,000 per year, over a 10- year period. This salary range incorporates experience, yearly salary increments to reward years of service, employee growth and development within the organization.
PURPOSE OF THE JOB: The Advisor reports to the Senior Advisor to the CEO, Governance & Compliance for day-to-day operational needs in policy management, privacy program and overarching governance and compliance for the Society. 1.0 DUTIES & RESPONSIBILITIES: 1.1 Policies & Procedure Management
  • Set up, manage & maintain Policy and Procedure Management system (Policy Pro & SharePoint);
  • Data Management/Data Entry – Enter data into policy management system, updates, SharePoint;
  • Modify and develop comprehensive and clear policies in collaboration with management and subject matter experts, while incorporating industry best practices and legal requirements;
  • Facilitate communication between management, and employees, ensuring that equilibrium of knowledge, regarding policies;
  • Research and integrate best practices and legal regulations (i.e. government, sector);
  • Recommend new policies, revisions based on best practices and legal regulations;
  • Recommend system for improving internal processes & efficiencies related to the role;
  • Data entry for policies that require training on Knowbe4;
  • Upload & launch designated policies to training site for employee sign off (Knowbe4);
  • Coordinate with related management team members to assist setting up training & communication plan;
  • Support management to ensure compliance (sign-off) of policies & training on KnowBe4– including support running reports for the owner of the policy campaign – may require ongoing communications;
  • Work with managers conducting training campaigns to ensure appropriate policies and procedures are available on KnowBe4;
  • Assist in coordination of quarterly and annual policy review;
  • Assist in ensuring that policies are in compliance with CARF standards;
  • Prepare memos to Executive team and/or Board of Directors for policy approvals and ensure all deadlines for submission are met;
  • Create and maintain procedure manual on SharePoint with clear & streamline processes for policy & procedure management;
  • SharePoint site management for all the relevant documents/materials;
  • Answering queries as the go-to resource for any questions or concerns related to policy and procedure development, creation, data management, and provide guidance to employees and management;
  • Ownership of the over-arching organizational compliance and governance calendar – directing and coordinating internal and external resources as required;
  • Optimize the scheduling of compliance and governance activities across the organization in consideration of ongoing operational activities;
  • Develop and maintain clear and clean materials for all staff specific to compliance and governance.
1.2 Privacy Officer:
  • The Privacy Officer is responsible for ensuring compliance with DIVERSEcity’s Privacy Policy;
  • Developing, implementing, and maintaining the Organization’s Access to Information and Privacy Program;
  • Investigating and responding to privacy complaints and suspected privacy breaches;
  • Assisting personnel with the completion of privacy impact assessments and audits;
  • Providing privacy training to personnel;
  • Recommending remedial action in response to a breach of this policy;
  • Seeking legal advice as necessary;
  • Representing the Organization before the Office of the Information and Privacy Commissioner (OIPC);
  • Providing advisory services to personnel;
  • Other duties as required.
2.0 QUALIFICATIONS:
  • Post-secondary degree or diploma in Office Administration, Public Policy or related field;
  • 2 years experience with Policy and Procedure management including compliance software;
  • Exceptional interpersonal skills, an articulate communicator, a positive team-player, time management skills;
  • Ability to handle highly sensitive and confidential information;
  • Exceptional written and spoken English communication skills, attention to detail, analytical acumen and problem-solving abilities;
  • Strong technical skills in MS Teams, MS Excel, MS Word, Outlook, PowerPoint, MS Forms, SharePoint and database management;
  • Knowledge of CARF and/or other accreditation bodies is an asset;
  • Ability to work with minimal supervision, meet deadlines and work collaboratively with other team members as required;
  • Proven organizational, facilitation, minute taking and time management skills;
  • Ability to take initiative and problem solve;
  • Ability maintain focus on multiple deadlines in a time-pressured environment;
  • Always exercise professionalism when representing the Society at events, in meetings and social media;
  • Valid class 5 driver’s license and access to a vehicle on meeting and event days.
