Job description

Under the Sioux Lookout First Nations Health Authority (SLFNHA) Physician Services management agreement, the ADMN II - Physician Scheduler's role works within the vision, mission, and values of the Sioux Lookout Regional Physicians’ Services Inc. (SLRPSI), supporting the delivery of regional physician services to the Sioux Lookout Area and 31 First Nation communities.

2025 Salary Range: $56,576 - $75,992

Position Type: Full-time

Job Summary:

The ADMN II - Physician Scheduler is responsible for the day-to-day operations of advanced scheduling of regional Physician Services Inc. (SLRPSI). The Admin II - Physician Scheduler reports directly to the Lead - Physician Contracts.

Qualifications:

  • Persons of First Nations ancestry will be given preference (OHRC, Part II, Special Employment).
  • Ability to communicate in one of the First Nations dialects in the Sioux Lookout Zone is an asset.
  • Minimum Grade 12 education.
  • Certificate/Diploma in Office Administration is an asset.
  • Minimum 1 year of administrative or clerical experience required.
  • Knowledge of Health Force Ontario and Emergency Department Locum Program is an asset.
  • Proficiency with Microsoft Office (Word, Excel).
  • Working knowledge of databases and scheduling software.
  • Excellent time management, organizational, and administrative skills.
  • Ability to work independently, meet deadlines, and manage multiple priorities while paying close attention to detail.
  • Ability to establish and maintain effective working relationships.
  • Ability to handle confidential and sensitive information with discretion.
  • Strong problem-solving and decision-making skills.
  • Project management skills.
  • Proactive in improving scheduling communication and programs.
  • Excellent interpersonal and communication skills, both verbal and written.
  • Experience and understanding of Native culture, and the social and geographic realities of remote First Nation communities.
  • Ability to perform the duties of the position regularly.

Roles and Responsibilities:

  • Create, update, maintain, and distribute physicians' monthly preferred work schedules in consultation with the team and leadership.
  • Manage resident and learner schedules in PetalMD software.
  • Engage with physicians to fulfill upcoming shifts.
  • Maintain accurate PetalMD records, including on-call contact info and locum assignments.
  • Update and communicate changes to the Emergency Department Locum Program (EDLP) schedule.
  • Communicate weekly schedule revisions via phone, email, fax, and text.
  • Maintain First Nations contact information.
  • Track and communicate practice needs and updates to stakeholders.
  • Collaborate to improve scheduling processes.
  • Handle sensitive information per SLFNHA policies.
  • Maintain statistical data related to services and programs.
  • Coordinate with nursing stations on Physician visits and accommodations.
  • Attend departmental meetings and update on staffing and programs.
  • Support Physician Services Provider Organization (PSPO) when needed.
  • Maintain up-to-date on-call schedules across various specialties.
  • Add allied health schedules to PetalMD.
  • Contribute to the monthly Physician Newsletter.
  • Participate in rotational after-hours on-call schedules and physician transportation arrangements.
  • Assist with special projects and other duties as assigned.
