Job summary

Trans Mountain Corporation is seeking a collaborative, detail‑oriented Administrator, Training (Contract) to support workforce training, qualification, competency and compliance programs through accurate records management, data administration and reporting.

The successful candidate will demonstrate strong records management, MS 365, SharePoint and Excel proficiency, with keen attention to detail and organization.

Qualifications

  • Post-secondary education in Business Administration, Communications, Human Resources, Adult Learning, or related discipline.
  • 2-3 years of progressive experience.
  • Experience with LMS administration and data management.
  • Strong records management and document control skills.
  • Proficiency with Microsoft 365 applications, SharePoint, and Excel.
  • Ability to manage large volumes of data and documentation.
  • High attention to detail and accuracy.
  • A consistent track record of delivering high‑quality work, managing competing priorities, and supporting key business processes or operational functions.
  • Demonstrated ability to work effectively with colleagues and stakeholders from diverse backgrounds.
  • Effective communication skills, including clear, respectful, and professional conveyance.

Responsibilities

  • Maintain learner, course, and curriculum records within the Learning Management System (LMS).
  • Support training matrix updates and curriculum assignments based on job, location, and organizational changes.
  • Generate compliance reports and perform routine data quality audits.
  • Scan, digitize, organize, and maintain training and competency records.
  • Process and track performance-based competency sign-offs and supporting documentation.
  • Upload and manage records within approved repositories and systems.
  • Identify and correct data discrepancies to ensure audit-ready records.
  • Provide administrative support for training, qualification, and competency programs.

Trans Mountain is seeking a collaborative, motivated, and values driven individual to join our dynamic team as Administrator, Training (Contract). In this position, you will play a key role in supporting workforce training, qualification, competency, and compliance programs through accurate records management, data administration, and reporting. The successful candidate will demonstrate strong records management and document control skills, proficiency with Microsoft 365 applications, SharePoint, and Excel, and a high level of attention to detail and organization.

This position offers the opportunity to contribute to the effective administration and maintenance of training and competency programs while ensuring records remain accurate, complete, and audit-ready.

Key Responsibilities
