Job summary

The TWU group in Langley is seeking a Payroll and Benefits Administrator to manage payroll processing and provide support for employee benefits and inquiries. This role requires a strong understanding of payroll regulations and excellent communication skills.

The successful candidate will ensure compliance in payroll reporting and will assist employees with payroll-related issues. A comprehensive benefits package, including health insurance and RRSP matching, is offered.

Qualifications

  • 2+ years of experience in payroll administration.
  • Experience with US payroll is considered an asset.
  • Experience in higher education or non-profit setting is preferred.

Job description

Salary Range: $30,000.00 To $35,000.00 Annually

People & Culture

Hours of Work: This position is for 28 hours per week. The preferred schedule is 5 days per week but flexible for the right candidate and around the pay cycle.

Position Purpose and Summary

The Payroll and Benefits Administrator is responsible for the accurate and timely processing of payroll, ensuring compliance with relevant regulations, and providing exceptional customer service to employees regarding payroll inquiries and issues.

This role reports to the Team Lead, Payroll & Administration and maintains accurate payroll records, processes payroll transactions, and resolves payroll discrepancies.

Key Areas of Accountability
Payroll Processing
  • Ensure that all information affecting an employee’s pay is processed accurately and on time including new contracts, terminations, salary changes, leaves, faculty payments, etc.
  • Assist in preparing and submitting the semi-monthly Canadian and US Payrolls.
  • Run payroll audits to ensure accurate records.
  • Issue Records of Employment in a timely and accurate manner.
Data Management
  • Maintain accurate and up-to-date electronic payroll files for all employees.
  • Maintain and update employee payroll records, as needed, including personal information, pay rates, and tax withholdings.
  • Update employee time off balances, when necessary.
Employee Support
  • Address and resolve payroll-related inquiries and issues from employees.
  • Provide information to employees regarding payroll policies and procedures.
  • Provide coverage for the Team Lead, Payroll & Administration on all payroll matters, as necessary.
  • Prepare and submit union deduction and benefit reports on a monthly basis.
  • Prepare and submit RRSP contributions report to Sun Life.
  • Reconcile benefit invoices with payroll deductions and make necessary adjustments.

Support the Coordinator, Centres of Excellence with benefits enrolments and changes.

Reporting and Compliance
  • Generate payroll reports for People & Culture as required.
  • Assist with internal and external audits by providing payroll data and documentation.
  • Support in the year-end process including year-end audits as required.
  • Stay updated on federal and provincial regulations affecting payroll.
Process Improvement
  • Identify opportunities for process improvements within the payroll function.
  • Implement best practices and streamline payroll processes.
  • Leverage technology to enhance payroll efficiency and accuracy.

Standards & Requirements

Education : Undergraduate degree, courses with the National Payroll Association is considered an asset.

Experience : 2+ years of experience in payroll administration. Experience with US payroll is considered an asset. Experience in higher education or non-profit setting is preferred.
